Read and understand the QuickBooks Time timesheet history logs

Learn how to read and understand what the timesheet history logs mean, and why the time on the log may not match when a timesheet was created or edited.
If you have QuickBooks Online Essentials, Plus, Advanced, Accountant, or QuickBooks Online Payroll Premium or Elite, you can find the timesheet history logs there.
Find timesheet history logs
In QuickBooks Online
- Go to Time, then select Time entries.
- In Display by, select Date.
- Select the date range, and find the timesheet you want to review.
- Select Expand Menu next to the timesheet, then select View timesheet history.
In QuickBooks Time
- Go to Time Entries.
- Select the date range, and find the timesheet you want to review.
- Select View Log next to the timesheet.
Understand the timesheet history logs
Time
This includes when the timesheet was created or modified. This info is recorded through direct entry on the web dashboard or through sync by API, integration, or the Workforce app. These times reflect when the web dashboard recognizes these changes, not when the items were created from the source they synced from.
For example, if a team member doesn’t have data service until 12pm, but they clocked in at 8am, their time would display as 12pm because that’s when it synced with the system.
User
This is the team member, manager, admin, or QuickBooks Time Support who performed that action (QuickBooks Time Support should only appear for automatic actions performed by the server). If the text is in red, it means the action was performed by someone other than the timesheet’s owner.
Log Message
These are the various codes you may see in the timesheet log and what they mean:
- (aco): Any automatic clock out. This only appears on the first timesheet created by the automatic clock out.
- (api): Anything done by the user through QuickBooks Workforce, except manual entry. This includes any time edits a manager makes for their crew.
- (api-mtc): Manually added time (including time off) done through the Time app. This includes any time edits a manager makes for their crew.
- (kiosk): Time entry through kiosk.
- (msgq): Anything the server scheduled and did automatically on behalf of the team member. The username displays as QuickBooks Time Support for this message.
- (mtc): A total hour entry from the manual time card.
- (pto-e): Time off entry tool (added by team member, admin or manager).
- (sms): Time entry via text message.
- (t): Pop-out Timecard.
- .: Time tracked on Time Clock.
- (time_off_request): Team member requested time off.
- (dialin): Clocked in from dial-in.
