Upgrade or change your subscription

Learn how to manage your QuickBooks subscription.
Find the best accounting tools for your business as QuickBooks grows with it. Upgrade your subscription when you're ready for more features. Or, if your current subscription isn't a good fit, we can help you change your plan.
Important:
- Before you upgrade or change your plan, make sure:
- You’re the primary user or company admin.
- Your payment info is up to date.
- If you’re an accountant, you can upgrade or change your clients' QuickBooks Online subscription.
- You can’t change from any QuickBooks Online plan to QuickBooks Ledger.
Know the limits of your plan
Usage limits
You won’t be able to add more items once you reach your plan's usage limit. Make sure you have the right plan.
Billable users
- QuickBooks Online EasyStart - 1 user
- QuickBooks Online Plus - 5 users
- QuickBooks Online Advanced - 25 users
Custom fields
- QuickBooks Online EasyStart plans don’t have custom fields.
- QuickBooks Online Plus - 4 per transaction
- QuickBooks Online Advanced - 12 per transaction
Class and location tracking
- QuickBooks Online EasyStart plans don’t have class and location tracking.
- QuickBooks Online Plus - Up to 40 combined classes and locations
- QuickBooks Online Advanced - Unlimited classes and locations
Feature limits
QuickBooks Online plans have different features. If you want to upgrade or change your plan, you may need to turn on or turn off some of these features. Or, you may need to resolve some issues first.
Recurring transactions
- Only QuickBooks Online Plus and QuickBooks Online Advanced plans have recurring transactions.
- You need to turn this off if you want to change your plan to QuickBooks Online EasyStart.
Multi-currency
- Only QuickBooks Online Plus and QuickBooks Online Advanced plans have multi-currency.
- Once multi-currency is on, you can’t turn it off. Also, you won’t be able to change your plan to QuickBooks Online EasyStart.
Inventory tracking
- Only QuickBooks Online Plus and QuickBooks Online Advanced plans have inventory tracking.
- You can change your plan to QuickBooks Online EasyStart. First, turn off your non-inventory items. This turns off your plan's inventory tracking.
Pending approval for invoices
This feature is limited to QuickBooks Online Lite.Â
If you have an invoices that is pending approval, you'll need to resolve it before you can upgrade or change your plan.
Tag groups
This feature is limited to QuickBooks Online Lite.
If you have exceeded the limit for tag groups, you'll need to remove some before you can upgrade or change your plan. To learn more about usage limits, check out Learn about usage limits.
Accountant firms
If you need to add more than 2 accountant firms for your company, consider upgrading to QuickBooks Online Advanced.
If you exceed the limit for accounting firms that are added to your account, you'll need to remove some before you can upgrade or change your plan. To learn more about usage limits, check out Learn about usage limits.
Note: If you decide to go back to your old subscription, turn the features back on. Your inventory, recurring transaction templates, and apps won't turn on automatically.
Upgrade your plan
Important:
If you’ve originally subscribed through the Play Store or the App Store, you must manage your subscription directly from your device rather than within the QuickBooks mobile app.
For:
if you’ve subscribed directly with Intuit, open a web browser and follow these steps:
- Sign in to your QuickBooks Online account.
- Go to Settings
and select Subscriptions and billing. - Select View payment history. Check if your payment info is up to date.
- In the QuickBooks < product > or QuickBooks Online < product > section, select Upgrade your plan.
- To upgrade your plan, follow the steps on the page.
Manage your plan’s usage limits and features
Edit your usage limits
- Delete users to have the user limit you only need when you change plans.
- Delete classes or locations to change your plan to QuickBooks Online EasyStart.
- Turn off custom fields you won’t use.
Run a report of your products or services
- Go to Reports
and select Standard reports (Take me there). - Find the Product/Service List report. You can either:
- Search for the report from the Type report name here â–Ľ dropdown, then select it.
- Or, go to the Sales and customers section and select the Product/Service List report.
- Select Customize.
- Go to the Filters section.
- Select Deleted from the Filter by ▼ dropdown.
- Select the Condition and Value from the ▼ dropdowns.
- Select Apply changes to apply the changes.
Turn off your inventory
Note: Before you turn off your inventory, run your Product/Service List
report first. It’ll show your inventory items and your available services.
- Go to Settings
and select Products and services (Take me there). - Select the Type â–Ľ dropdown, then select Non-Inventory.
- Select
Filters.
- Select the Status â–Ľ dropdown, then select All.
- Select Apply.
Note: This shows all your non-inventory items but not the service items you'll keep. - Select the checkbox next to the Name column. This selects all the inventory items on the list.
- Select Make inactive, then select Make inactive again to confirm.
Your inventory items are now off and won't show up on your Products & services list.
Pause recurring transactions
Turn off your recurring transactions first if you need to change your plan to QuickBooks Online EasyStart.
- Go to Settings
and select Recurring transactions. - Find the template you want to pause.
- From the Action column, select the â–Ľ dropdown and select Pause.
- Select Pause to confirm.
Change your plan
When you change your plan, you either move to a similar plan or to a lesser-valued plan. To help you decide, you can check out the downgrade pricing plans. Review the features of each plan to make sure you don’t lose those that you need.
Note: When you change your plan, it removes any discounts on your current plan.

- Review the available plans and select Choose plan.
- To change your plan, follow the steps on the page.
