Unmatch or move downloaded bank transactions

Review and correct downloaded bank transactions by unmatching, moving, or undoing them in the Posted tab of the Bank transactions page.

When QuickBooks Online downloads new bank and credit card transactions, it attempts to match them with transactions you have already entered. If a match is not found, a new record is created for you to review and approve.

Occasionally, transactions are matched incorrectly or categorized into the wrong account. You can undo, unmatch, or move these transactions after your review.

Important: If you already reconciled the transaction you want to unmatch or change, reach out to your accountant for advice. This type of change can have a big impact on your accounts. Your accountant can help you unreconcile the transaction and make corrections.

Unmatch a downloaded transaction

If you matched a downloaded transaction with the wrong record, you can disconnect them to return the transaction to the Pending tab.

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Accounting, then Bank transactions (Take me there).
  2. Select tile for the bank or credit card account you downloaded the transaction from.
  3. Select the Posted tab.
  4. Find the transaction you want to unmatch.
  5. Select the blue transaction link in the Added or Matched column to see the matched transaction.
  6. Select Undo from the Action column.

Result: This disconnects the two transactions, and the original downloaded transaction returns to the Pending tab where you can find the correct match.

Move a downloaded transaction to another account

If a categorized transaction is in the wrong account, you can change the account directly on the transaction.

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Accounting, then Bank transactions (Take me there).
  2. Select tile for the bank or credit card account you downloaded the transaction from.
  3. Select the Posted tab.
  4. Find the transaction you want to move.
  5. Select the blue transaction link in the Added or Matched column to open the transaction.
  6. In the Account dropdown, select a new account for each item on the transaction.
    • Don’t change the Payment account.
    • The Category field only shows in deposits. You cannot change the category of sales receipts.
  7. Select Save and close.

Remove or undo a downloaded transaction

If QuickBooks created a new transaction that you do not want, you can remove it and start from scratch.

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Accounting, then Bank transactions (Take me there).
  2. Select tile for the bank or credit card account you downloaded the transaction from.
  3. Select the Posted tab.
  4. Find the transaction you want to delete.
  5. Select Undo from the Action column.

Result: This resets the transaction QuickBookstried to create for you. Return to the Pending tab and categorize the transaction the way you want to.
