If you’re filing W-2s electronically with Intuit Online Payroll, you won’t need to send a W-3, because the Social Security administration creates one automatically. If you need to know how to get tax and wage information from the W-3, we’ll show you how.
What is the W-3?
Form W-3 (Transmittal of Wage and Tax Statements) summarizes W-2 employee information about:
- Total W-2 earnings
- FICA wages and tax amount withheld
- Federal income wages and tax amount withheld
Do I need to file a W-3 form?
W-3 form filing is based on how your W-2s are filed with the Social Security Administration(SSA). When filing W-2s online with Intuit, the SSA does not require an actual W-3 to be filed, because their website generates one automatically based on cumulative W-2 totals.
- When you electronically submit the W-2s through our Online Payroll service, you do not need to send a separate W-3.
Why? We automatically send your W-3 information to the appropriate government agency, so that you do not need to file a separate printed form W-3. Although we don't send the actual form, we provide the necessary information that is acceptable to the agency.
- If you choose to mail the W-2 copy A to the Social Security Administration(SSA), mail the W-3 copy along with the W-2 copy A.We can only provide you an employer copy of W-3, but you can use it as a reference in filling out the official W-3 for submission.
Can I get a copy of my W-3 information for my own records?
For prior years, you can run and print a tax and wage summary report. This report has the same information that you'll find on Form W-3.
How do I view and print a report that shows my W-3 information?
Select your product below to learn about printing a W-3 equivalent report from your payroll software.
QuickBooks Online Payroll
- Select Reports, Standard and then Payroll.
- Select Payroll Tax and Wage Summary.
- Make sure the date range spans an entire calendar year.
- Select Run Report.
- Select the drop down box titled Share, and select Printer Friendly.
- Select Print.
Intuit Online Payroll
- Select Reports, and then Tax and Wage Summary.
- Make sure the date range spans an entire calendar year.
- Select Run Report.
- Select the Printer-Friendly Version link at the top of the table.
- Select Print in the pop-up window that displays your report.
- From the Share drop-down, select Printer Friendly.
- Select Print in the pop-up window that displays your report.
Quickbooks Desktop Payroll
- Select Reports
- Select Employees & Payroll
- Select Payroll Summary
- Make sure your date range spans an entire calendar year.
