Connect and manage Etsy transactions in QuickBooks Online

Improve bookkeeping accuracy with the Etsy Connector by Intuit, which syncs data directly into QuickBooks. Edit, categorise, and match Etsy orders, payments, customers, and products.

The app imports order details like net amount, fees, taxes, discounts, products/services, and customers.

View status or orders/items

Etsy orders will be automatically added to the books. You can view the status of the transactions and items being imported from the Integration transactions (Take me there) page.

There are several tabs on the Integration transactions (Take me there) page:

  • Processing includes all orders and items that are in progress and not yet imported.
  • Imported includes all orders and items that were successfully imported from Etsy.
  • Excluded includes all orders and items that have been manually excluded from being imported.

Once an order is created in Etsy, it appears in the Imported tab of the Integration transactions (Take me there) page, usually within 4 hours.

How to connect

You need an active Etsy account to use the Etsy Connector by Intuit. If you haven't already, create an Etsy account first. Then you’re ready to get started!

  1. Sign in to your QuickBooks Online account.
  2. Follow this link to complete the steps in product. Open this link in a new window
  3. In the search bar, enter “Etsy Connector by Intuit”, then select it when you find the app.
  4. Select Get integration now.
  5. Select Continue to connect your accounts.
  6. Then enter your Etsy username (or email address) and password and follow the steps to sign in.
  7. To authorise Etsy to send your orders to QuickBooks, select Grant access.
  8. From Transaction start date, select the date you want Etsy to start importing orders.
    Note: You can import up to 1-year worth of historical orders.
  9. Complete the app settings.
    Notes:
    • The Use Income account under Item settings and Use Expense Account under Payment settings are required fields.
    • You can change these settings later by selecting Vertical ellipses icon. from the Etsy tile on the Integration transactions (Take me there) page.
  10. Select Done.

Tips and terminology for your app settings:

  • Retrieve settings specifies which order statuses should be retrieved.
  • Sales settings tell QuickBooks how to create sales.
    • Create Sales in QuickBooks as specifies whether to create an order from Etsy as an invoice or a sales receipt.
      Note
      : Sales receipts won’t get imported into QuickBooks until they are fully paid.
    • Automatic Invoice Numbers lets QuickBooks generate an invoice number for each sale.
    • Shipping charges defines the item to use for shipping charges. This is only required if the Shipping option isn't turned on in the company settings.
    • Discounts applied says which item to use for discounts and is only required if the Discount option isn't turned on in the company settings.
  • Item settings tell QuickBooks how to create items.
    • Create items as specifies whether to create items as non-inventoried or inventoried items. Select Inventoried Items if you would like to track stock in QuickBooks.
    • Match items by setting specifies whether to match Etsy product SKU by the QuickBooks SKU or Name field. If the imported product matches the QuickBooks item, the app won’t create a new item.
    • Use Income account specifies which account will be used for all items.
  • Tax settings specify which Etsy tax rates map to QuickBooks tax rates. This setting is only applicable if you have taxes set up in QuickBooks.
  • Payment settings configure which QuickBooks accounts get used for Etsy payments and fees.

You’re ready to go! The Etsy app and your orders are available in Integration transactions (Take me there).

  3. Select Disconnect.
  4. Select a reason from the list, then select Disconnect.
