I appreciate your participation in this thread, handskoollyguy. I'm here to guide you through fixing the challenges you've encountered with accessing the file for another user.
After configuring your QuickBooks Desktop (QBDT) company in a Remote Desktop Server (RDP), you'll have to set up a unique username and password that the other user can use to access the QBDT file. To ensure every user can access your company simultaneously, I recommend creating one user login for each user. That's because a single login credential can only be used by one user at once.
Here's how:
- Open your QuickBooks company file (host user).
- Navigate to the Company menu.
- Select Users, then Set Up Users and Roles.
- Sign in to your admin credentials.
- From the User List tab, click New.
- Enter a User Name and Password. Then, Confirm Password.
- Add any Available Roles to grant access to the user to your QuickBooks company according to their job specification.
- Once done, hit OK.
For more information about managing multi-user mode in the software, access this link: Host your company data in multi-user mode in QuickBooks Desktop.
You can also review this resource to gather insights about granting permissions to access QBDT folders: Set up folder and Windows access permissions to share company files.
