What happens to my data after cancelling my QuickBooks subscription?

Have your business needs changed? Have you decided to cancel your QuickBooks Online subscription? If so, there are few things you should know about the life of your QuickBooks Online data after you end your QuickBooks Online subscription.

  • If you cancel during a free trial or if your trial expires, your data is available for 90 days.
  • If your credit card is declined, you have 14 days to update your billing information. During this time you have full access to QuickBooks Online. After that, your account is suspended and you will have to re-subscribe to access your data.
  • If you were subscribed to QuickBooks Online, you can export data to Excel or to a desktop version of QuickBooks up to a year after you cancel.
  • If your were using a trial version, you must export within 90 days after you cancel.

Resubscribe to QuickBooks Online

The length of time QuickBooks Online stores your data under our data retention policy depends on how your account was cancelled:

  • If you cancel your QuickBooks Online subscription, your data will be available in read-only access for 1 year from the date of cancellation.
  • If you cancel QuickBooks Online during the trial period or if your trial expires, your data will be available in read-only access for 1 year from the date of cancellation.
  • If your credit card is declined, you have a 14-day grace period to update the billing information on your account. During this time, you'll have full access to your company data and can create new transactions or make changes. After the 14-day grace period, your account will be suspended and your data will be available in read-only access for 1 year.

We recommend that you export or print your data before cancelling your account. However, as long as you're within the read-only access period of your cancelled account, you'll still be able to export your data.

Note: If you resubscribe within 12 months of cancelling a paid QuickBooks Online subscription, you'll be able to access your earlier data. After 12 months, you can still resubscribe with the same credentials, but your data will no longer be available.

After cancelling your QuickBooks Payroll subscription, your data will remain available in read-only access for 12 months from the cancellation date, as long as you log in once every few months.

You'll need to log in once every 100 days following your cancellation to keep the connection between QuickBooks Online and QuickBooks Payroll powered by Employment Hero alive, and ensure it doesn't expire before your 12 months are up. If the connection expires within the 12 months for any reason, you'll need to contact us to get access to your read-only payroll data.
