Search for transactions in QuickBooks Online

QuickBooks Online users may see 2 different search options based on when their company was created.

  • Old experience: The user needs to press Enter on their keyboard or select the Search 🔍 icon to view the search results. Companies created before June 2017 will have this search experience.
  • New experience: The user doesn’t have to press Enter or select the Search 🔍 icon. The results automatically populate under the search bar. Companies created after June 2017 will have this search experience.

Aside from checking when the company file was created, you can also do these. 

  • Check the Admin Tool.
    Note: Open the company profile in the Admin Tool and search for qbo-search-plugin. If this plug-in is present, the user's company file has the new search experience.
  • Identify the title of the search box.
    • Old experience: Search transactions.
    • New experience: Search your transactions, contacts, and reports or search your transactions and contacts.

Use the search option to find transactions

  1. Select the Search 🔍 icon.
  2. Select the desired transaction from the results that automatically populate under the search bar. 
  3. If the transaction you’re looking for doesn’t appear in the results, select Go to transactions search.
  4. Adjust the filters to find the type of data you want. Select More Filters and enter other details. This should give you a list of transactions that meet your filter criteria.
  5. Select the Gear ⚙️ icon to customize your results, then select the columns you want to display.


Find transactions by customer name, supplier name, and transaction type

Search by customer name

  1. Go to Sales and select Customers (Take me there).
  2. Select a customer to view the transactions.

Search by supplier name

  1. Go to Expenses and select Suppliers (Take me there).
  2. Select a supplier to view the transactions.

Search by transaction type (Sales)

  1. Go to Sales and select All sales (Take me there).
  2. From the Type ▼ dropdown, select a transaction type.

Search by transaction type (Expenses)

  1. Go to Expenses and select Expenses (Take me there).
  2. From the dropdown menu, select a transaction type.

Note: You can select a column title to sort the list by type, date, or amount for each of these transaction types.
