Intuit Intelligence helps you prepare, review, and submit payroll in QuickBooks Online Payroll. Ask it what you need in plain language, and it does the work or walks you through the steps.

You can use Intuit Intelligence to add hours and one-time pay, change an employee's pay, check your payroll before it goes out, and get answers to payroll questions. Intuit Intelligence always asks you to confirm before it takes an action, such as changing your payroll draft or submitting payroll.

Note: Intuit Intelligence for payroll is available on all QuickBooks Online Payroll plans in Canada.



How do I start using Intuit Intelligence for payroll?

Select Intuit Intelligence icon in QuickBooks Online, then ask a payroll question or tell it what you want to do. If you ask about payroll, you will get payroll help. Name the employee, the amount, and the pay period where it matters.



What can Intuit Intelligence do with payroll?

Intuit Intelligence helps with five kinds of payroll tasks.

  • Get answers: Explains how to do a payroll task, or why something happened. For example, How do I run an off-cycle payroll?
  • Prepare payroll: Adds hours, overtime, and one-time pay to the current pay period. For example, Add 8 hours of overtime for [employee name].
  • Review payroll: Summarizes your payroll draft and finds problems before you submit. For example, Show me any employees not ready to be paid.
  • Change pay: Updates pay rates and gives raises. For example, Give my employees a 5% pay raise.
  • Submit payroll: Checks that payroll is ready, then submits it after you confirm. For example, Is payroll ready to submit?


How do I get answers to payroll questions?

Ask Intuit Intelligence how to do a payroll task in QuickBooks Online Payroll. It explains the steps. For some questions, it also checks your payroll data to find the cause of a problem.

Here are some questions you can ask:

  • How do I set up Auto Payroll?
  • What's making [employee name] ineligible for Auto Payroll?
  • I need to terminate an employee. Walk me through the final pay process.
  • How do I enter an employee's TD1 claim amounts?
  • How do I set up vacation pay?
  • An employee moved to another province. What do I update?
  • How do I run an off-cycle payroll?

For some changes, such as setting an employee's default hours, Intuit Intelligence walks you through the steps instead of making the change for you.



How do I add hours and one-time pay?

Tell Intuit Intelligence what to add to the current pay period's payroll draft. Name the employee and the amount.

  • Regular hours: Add 8 hours for [employee name] for the current pay period.
  • Overtime: Add 8 hours of overtime for [employee name]. or Remove 10 hours of overtime from [employee name].
  • Vacation hours and reimbursements: Add 24 hours of vacation pay for [employee name] and a $100 mileage reimbursement.
  • Bonuses: Add a $200 bonus for [employee name] during this pay period.
  • Tips: Add $75 in cash tips for [employee name].

Intuit Intelligence asks you to confirm before it updates the payroll draft. Review the draft before you submit it.



How do I review my payroll before I submit it?

Ask Intuit Intelligence for a summary of your payroll draft, or ask it to look for problems.

  • Tell me about my payroll draft.
  • Show me any anomalies or employees not ready to be paid.
  • Who is excluded from payroll for this pay period?
  • How do my payroll costs compare to the last pay period?
  • Show me [employee name]'s last paycheque.


How do I change an employee's pay?

Intuit Intelligence can update pay for employees who are already set up in payroll.

  • Set a new salary and schedule: Set [employee name]'s pay to $100,000 per year, working 5 days a week, 8 hours a day.
  • Give a raise to one or more employees: Give my employees a 5% pay raise.
  • Switch pay type: Switch [employee name] from hourly to salary, based on their current hourly rate.
  • Reduce pay: Reduce [employee name]'s yearly pay by $500.

Note: To pay a new employee, add them in QuickBooks Online Payroll first. Intuit Intelligence can't create a new employee profile.



How do I submit payroll?

When your payroll draft is ready, ask Intuit Intelligence to check it and submit it.

  • Is payroll ready to submit?
  • Run payroll for me.
  • Go ahead and submit payroll.

Intuit Intelligence asks you to confirm before it submits. Once you submit, the payroll is no longer a draft, so make all your changes first.
