Learn how to run and use the payroll report for QuickBooks Time.

If you have QuickBooks Online Essentials, Plus, Advanced, Accountant, or QuickBooks Online Payroll Premium or Elite, you can run and use the payroll report there.

In this article, you'll learn how to:



Run and print a payroll report

Note: If you want to change the total hours worked format from Decimal to HH:MM, before you select Run Report, next to Show hour totals in, select HH:MM.

  1. In QuickBooks Online, go to Time, then Time reports, and select Payroll report.
    Or, in QuickBooks Time, select Reports, then Payroll Report.
  2. Select the Report Dates and other filters as needed, and select Run Report.
  3. To view details: Select Expand All or select the expand icon (+) next to each name.
  4. To print the report: On the report itself, at the top, select the printer icon. Note: this prints what your current report view looks like.
  5. Right-click the report, and select Print ().


Create a PDF of the report

  1. In QuickBooks Online, go to Time, then Time reports, and select Payroll report.
    Or, in QuickBooks Time, select Reports, then Payroll Report.
  2. Select the Report Dates and other filters as needed, and select Run Report.
  3. At the top, select Open as PDF.


Download and print a payroll spreadsheet

  1. In QuickBooks Online, go to Time, then Time reports, and select Payroll report.
    Or, in QuickBooks Time, select Reports, then Payroll Report.
  2. Select the Report Dates and other filters as needed, and select Run Report.
  3. Select Download, then select the spreadsheet format you want to download. 
  4. (Optional) Print the spreadsheet from within the selected application.


Add a timesheet using the payroll report

  1. In QuickBooks Online, go to Time, then Time reports, and select Payroll report.
    Or, in QuickBooks Time, select Reports, then Payroll Report.
  2. Select the Report Dates and other filters as needed, and select Run Report.
  3. Next to the team member, Click for details +.
  4. Select + Add timesheet.
  5. In the Timesheet Editor, enter the information, and select Save.


Edit or delete a timesheet using the payroll report

  1. In QuickBooks Online, go to Time, then Time reports, and select Payroll report.
    Or, in QuickBooks Time, select Reports, then Payroll Report.
  2. Select the Report Dates and other filters as needed, and select Run Report.
  3. Next to a timesheet, hover over the date.
    • To edit: Select Edit , make the changes, and select Save.
    • To delete: Select Delete , then select Delete again to confirm.
