Upgrade or downgrade wholesale discount clients' QuickBooks Online subscription

Learn how to change your wholesale discount clients' subscription level.

Note: ProAdvisor Preferred Pricing replaces the wholesale discount program for new subscriptions added on or after July 15, 2021.

Upgrade or downgrade your clients' QuickBooks Online subscription level so they get more (or fewer) accounting tools. Here's how to change the subscription level between Simple Start, Essentials, Plus, and Advanced.

Notes:

  • You can't move wholesale discount clients to or from QuickBooks Self-Employed or QuickBooks Online.
  • QuickBooks Online clients can't be downgraded to QuickBooks Ledger. Talk to your client before upgrading them out of the QuickBooks Ledger edition.

Upgrade a client's subscription level

Make sure your firm's billing and subscription info are up-to-date.

  1. In QuickBooks Online Accountant, go to Settings ⚙️, then select Subscriptions and billing.
  2. Select Accountant-billed subscriptions.
  3. Scroll down and look for your client.
  4. Next to the client, select the arrow ▶ to display that client's product subscriptions.
  5. From the Select action ▼ dropdown next to the product you wish to upgrade, select Upgrade.

Tip: If a client recently moved to your wholesale discount plan and their status is pending, you'll need to wait for it to be approved to upgrade them.

Downgrade a client's subscription level

Talk to your client before you downgrade their subscription to make sure you won't take away features they currently use. When they've decided they're ready to downgrade:

  1. Review and learn what happens when you Downgrade a QuickBooks Online subscription. You may need to turn off certain features before you can downgrade, like multi-currency.
  2. In QuickBooks Online Accountant, go to Settings ⚙️, then select Subscriptions and billing.
  3. Select Accountant-billed subscriptions.
  4. Scroll down and look for your client.
  5. Next to the client, select the arrow ▶ to display that client's product subscriptions.
  6. From the Select action ▼ dropdown next to the product you wish to upgrade, select Upgrade.

Important: If your client downgrades from QuickBooks Online Advanced, they may need to remove users, classes, locations, accounts, and tags. Each subscription level has a different user limit.
