Upgrade or downgrade wholesale discount clients' QuickBooks Online subscription

Learn how to change your wholesale discount client's subscription level.

Note: ProAdvisor Preferred Pricing replaces the wholesale discount program for new subscriptions added on or after July 15, 2021.

Does your client need more from QuickBooks Online? Or is their current product more than they need?

You can upgrade or downgrade your clients' QuickBooks Online subscription level so they get more (or fewer) accounting tools.

Here's how to change subscription level between Simple Start, Essentials, Plus, and Advanced.

Note: You can't move wholesale discount client's to or from QuickBooks Self-Employed and QuickBooks Online.

Upgrade a client's subscription level

Follow these steps and make sure your firm's billing and subscription info are up-to-date.

  1. In QuickBooks Online Accountant, go to Settings ⚙️ and then Subscriptions and billing.
  2. Select the Your subscriptions tab.
  3. In the Manage Wholesale Clients section, look for your client.
  4. Next to the client, select the arrow ▶ to display that client's product subscriptions.
  5. Next to the product you wish to upgrade, from the Select action ▼ dropdown, select Upgrade.

Tip: If you recently moved one of a client to your wholesale discount plan and their status is pending, you need to wait to upgrade them.

Downgrade a client's subscription level

Talk to your client before you downgrade their subscription. Make sure this won't take away features they currently use. When they've decided they're ready to downgrade:

  1. Review and learn what happens when you downgrade a QuickBooks Online subscription. You may need to turn off certain features before you can downgrade, like multi-currency.
  2. In QuickBooks Online Accountant, go to Settings ⚙️ and then Subscriptions and billing.
  3. Select the Your Subscriptions tab.
  4. In the Manage Wholesale Clients section, look for your client.
  5. Next to the client, select the arrow ▶ to display that client's product subscriptions.
  6. Next to the product you wish to downgrade, from the Select action ▼ dropdown, select Downgrade.

Important: If your client downgrades from QuickBooks Online Advanced, they may need to remove users. Each subscription level has a different user limit.
