Account Summary on an invoice

Learn about Account summary in QuickBooks Online.

The Account Summary lets you show your customer’s new charges and previous balances. It’s especially useful if you accept advance payments for your business.

The summary displays:

  • Balance Forward: The total amount due and any credit balance from the last invoice.
  • Payments and credits: All payments or credits since the last invoice.
  • New charges: The total amount of new charges and credits on the current invoice.
  • Total amount due: The customer's total balance.

Add the Account Summary to invoices

The Account Summary appears on all invoices with previous balances that occurred within 365 days from today’s date. Here’s how to turn on Account Summary on your invoice:

  1. Go to Settings and select Custom Form Styles.
  2. Find the invoice that you want, then select Edit ✎.

    Note: If there are no invoices listed, select Invoice from the New Style▼ drop-down menu.

  3. Select the Content tab.
  4. In the form preview, Edit ✎ the middle section.
  5. Select the Show on invoice checkbox.

    Note: You can’t select this option if you’re using an imported invoice style. Do this in the Master/Standard form.

  6. Select Done.

Remove the Account Summary from invoices

Turn off account summary to remove the past amounts due on your invoices:

  1. Go to Settings ⚙ and select Custom Form Styles.
  2. Find the invoice that you want, then select Edit ✎.
  3. Select the Content tab.
  4. In the form preview, Edit ✎ the middle section.
  5. Clear the Show on invoice checkbox.
  6. Select Done.

Create and send Balance Forward statements

The Account Summary only shows charges and payments made before you created the invoice. To see all payments and charges, create and send a Balance Forward statement to your customer. Here’s how:

  1. Go to Sales and select Customers.
  2. Find the customer on the list.
  3. In the action column, select the small arrow▼ icon, then Create Statement.
  4. From the Statement Type▼ drop-down menu, select Balance Forward.
  5. Enter the Statement Date, Start Date, and End Date.
  6. Select Print or preview or Save and send.

Add details to statements

To show detailed information for each transaction in the statement:

  1. Select Settings ⚙️.
  2. Under Your Company, select Account and Settings.
  3. Select the Sales tab, then Edit ✎ the Statements section.
  4. Select List each transaction including all detail lines.
  5. Select Save.
  6. Select Done.
