Invite employees to access pay stubs, W-2s and time sheets online

Learn how to give your employees online access to their pay stubs, W-2s  and time sheets online if you have QuickBooks Online Payroll and Intuit Online Payroll.

Now you don’t have to worry about printing and mailing pay stubs and forms. Your employees can just sign in to their QuickBooks Workforce account, and see their latest or past paychecks, W-2s, time sheets, and other employee info. We’ll show you how to send them an invite to QuickBooks Workforce.

Have QuickBooks Desktop? This article is for QuickBooks Online Payroll. If you have QuickBooks Desktop Payroll, use these steps.

Invite an employee

(Enhanced, Core, Premium, and ELite) You need to be the company’s master administrator to send invites to employees. Note: We don’t recommend setting up an account on your employee’s behalf. Once they accept their invite, they’ll be able to create their own Intuit account and manage their own login, notification settings, and security info.
  1. Log in to QuickBooks Online.
  2. Go to Workers and select Employees.
    1. For a new employee, select Add an employee.
    2. For an existing employee, select the employee’s name, then select Edit ✎ next to Pay.
  3. In Personal info section, add your employee’s email address, then select the checkbox for one or both of the options available:
    1. Invite this employee to track and record hours they work.   Note: This will only be available if you are using TSheets.
    2. Invite this employee to view their pay stubs and W-2s online.
  4. Select Done. The invitation will be emailed to your employee. Once they accept the invite, you’ll see a message "Good news! Your employee is ready to view their pay stubs and W-2's online" in Personal info section.

Note: If you need to resend a Workforce or TSheets invite, you can go back to this screen, then select Resend.

As of October 31, 2019, migration has been turned on for Intuit Online Payroll customers who are using Paycheck Records. Any employee who has been actively using Paycheck Records will now be provided with the link to migrate to Workforce and Paycheck Records will no longer be available.For new employees, here's how you invite an employee to view pay stubs online:

  1. Log in to Intuit Online Payroll.
  2. Go to Employees and select the employee's name.
  3. In the Employee Site Access section, select Edit.
  4. Add the employee's email address.
  5. Select Send Email.
  6. The employee will receive an email with a link to complete account access.

  2. Go to Employees and select the employee's name.
  3. In the Employee Site Access section, select Edit.
  4. Select Online pay stub access, and enter employees' email address.
  5. Select Send.
  6. The employee will receive an email with a link to complete account access.

  • After running payroll, your employees will get emails telling them that their paychecks are now available.
  • Your employees’ W-2 copies B, C, and 2 will be available in Workforce 24-48 hours after filing.Note that W-2’s for the prior calendar year only become available to employers on January 1st. Things like time of the year and status of the form filing might mean that your employees’ W-2’s aren’t available for them just yet.

If you haven't given paycheck access to your employees before, here's more info that you might find helpful to know.

Once your employee accepts their invite, you can no longer remove their access to Workforce.

Your employees will continue to have access to their paychecks for the first 18 months after canceling your payroll service. After that, the paychecks will no longer be available for them to view.

If you decide to cancel, be sure to advise your employees to print their documents for their own record.

Once your employee accepts your invite and logs in to QuickBooks Workforce, changing their email in your online payroll account won’t affect their account or access.

After a check has been negated or voided, both the original and the negated check will be available on Workforce. A negated check might display as a negative net amount, resulting in a net zero payroll.

Deleted checks get removed from Workforce.
