We introduced QuickBooks Desktop Point of Sale over 20 years ago to help retailers manage their stores. We're proud to have supported you. The Point of Sale platform we build the software on is unique. It needs a lot of maintenance and it's hard to create new features.

We’ve made the difficult decision to discontinue QuickBooks Desktop Point of Sale 19.0 as of October 3, 2023.

On October 3, 2023, QuickBooks Desktop Point of Sale and the following connected services will be discontinued:

  • QuickBooks Point of Sale Payments
  • QuickBooks Point of Sale Gift Card Service
  • Mobile Sync
  • Intuit Store Exchange
  • Webgility E-commerce integration
  • Support plans including live support (phone, email, chat)
  • Vendor Lookup Service

You can continue to use QuickBooks Desktop Point of Sale 19.0 without these services after October 3, 2023. Discontinued products don’t receive the latest critical security patches and updates.

Discontinuation of QuickBooks Desktop Point of Sale

What if I’m not on the latest version of QuickBooks Point of Sale?

To move to Shopify from an older version of QuickBooks Point of Sale, your data must be updated to the latest QuickBooks Point of Sale file format. Contact Point of Sale support to help update your data file. Once your data file is updated, Shopify offers a free migration tool to help you import your QuickBooks Point of Sale customers, vendors and inventory lists into the Shopify software.They offer premium onboarding assistance and free 24/7 help.

What if I need additional seats or more hardware?

Existing QuickBooks Point of Sale 19.0 customers can buy additional users on existing licenses and hardware for QuickBooks Point of Sale until October 3, 2023.

If I don’t use QuickBooks Desktop, can I still migrate to Shopify?

Yes. You can still switch to Shopify. Just use the migration workflow in the QuickBooks Desktop Connector App to import your customer, vendor and item lists.

What if I recently purchased an annual support plan?

The annual support plan will be prorated for the time you’ve used it. We’ll refund any portion you didn’t use. Contact us to learn more.

Will my QuickBooks Point of Sale PIN Pad still work?

No. The Tetra Lane 5000 PIN Pad you bought through Intuit is configured exclusively for use in QuickBooks Desktop Point of Sale with QuickBooks Payments. QuickBooks Payments won’t be available after October 3, 2023.

Will QuickBooks Gift Card Service continue to work with QuickBooks Point of Sale?

No. QuickBooks Point of Sale Gift Card Service is being discontinued on October 3, 2023. QuickBooks Point of Sale allows for manual redemption of a Gift Card, but won’t manage the balance. Use the Gift Card report to confirm the available balance on the gift card.

Why do I get a prompt about Unprocess Voice Authorizations that fail when I click Authorize Now?

Voice authorizations are offline transactions that attempt to settle through QuickBooks Payments when Point of Sale is launched.

With QuickBooks Payments no longer an available feature, the attempts to settle will fail.

Switch to Shopify

How much will it cost to switch?

It’s free to use the QuickBooks Desktop Connector App to switch your data to Shopify and to integrate with QuickBooks Desktop Financial software

What data will move over to Shopify?

Products (including inventory quantities at each location), customers, and vendor data can move from QuickBooks Point of Sale to Shopify, through the QuickBooks Desktop Connector app. 

Can I move my Sales/Customer History?

No. You can’t export transactional and non-transactional records like sales receipts, receiving vouchers, purchase and sales orders. You can still use QuickBooks POS software after the discontinuation date to see past transactions and customer history.

Will pictures be moved?

The QuickBooks Desktop Connector App doesn’t include product images. You can manually export images from QuickBooks POS and then import images into Shopify. Just use an app like Photo Finish.

Will customer notes and special discounts tied to customers be moved?

The Customer Notes field is available to be exported from QuickBooks Point of Sale and is included the migration process through the connector app. How you manage special discounts for certain customers will depend on how those were handled in QuickBooks POS. For example, you may manually create discounts on each order based on the customer notes, you might use standardized discount codes that apply to certain customer groups, or you might use third-party apps that handle more complex discounting logic.

Do customer balances move over?

Customer balances don’t move over to Shopify through the QuickBooks Desktop Connector App.

Use Shopify with QuickBooks Desktop

Which versions of QuickBooks Desktop are supported?

Supported versions of QuickBooks Desktop with the QuickBooks Desktop Connector App are Pro/Premier 2021, 2022, 2023 and Enterprise 21.0, 22.0 and 23.0.

How does data sync with QuickBooks Desktop?

If you use Shopify, it syncs to QuickBooks Desktop automatically with the QuickBooks Desktop Connector app. You can choose to send summarized data or detailed data which sends the exact names and descriptions of items. Orders, purchase orders, customers, adjustment to product quantity, and vendors are all synced with QuickBooks Desktop. Does Shopify work with QuickBooks Online?

There are many integrations between Shopify and QuickBooks Online that sync different types of data including POS. Find the best integrations for your business in the QuickBooks app store.

Shopify POS Features

What is the difference between Shopify POS and Shopify Admin?

Shopify Admin is where you store customer data product data, and inventory counts. Shopify POS is a way to make a customer-facing sale in real time like Shopify E-Commerce lets you to take a sale from an online store. To learn more, visit Shopify Help Center and search “Shopify Admin” or “Shopify POS”.

How do discounts work?

Shopify lets you create discount codes, set up automatic discounts, or set sale prices for individual products. Visit Shopify Help Center and search “Discounts” to learn more.

Can I set different permission levels for Employees?

Yes. You can have different levels of permissions for both the online store and the Point of Sale. You can even set up permission forPOS only staff for seasonal employees.

Can I have multiple prices for the same item?

No. Shopify doesn’t offer contextual pricing for products. 

How are House Accounts handled in Shopify POS?

Merchants can create unpaid orders for customers to track what they owe to the business. You can issue customer returns to gift cards which act as store credit.

If you have more specific wholesale needs, Shopify Plus merchants can assign price lists, payment terms, and product catalogs to wholesalers. Orders are created in the Shopify Admin or through the online store.

What type of reporting is offered?

Search for Reports in the Shopify Help Center. Run reports like:

  • End of Day reporting - This is offered as a Core level report
  • Commission Reporting - Not native, but third-party apps can be used to handle commission reporting and incentives

Can I track employee time in Shopify? Do you have time card or time clock functionality?

No You can use third-party apps  as a solution for your business needs. Check out the Shopify App Store to explore time management and payroll apps.

What kind of rewards capabilities are offered?

Shopify doesn’t support customer rewards. You can find different third party apps available with loyalty and reward programs like Rise.ai, Smile, Loyalty Lion, and Yotpo. They can all be found in the app store.

I have multiple stores, how does that work in Shopify? Can Shopify have multiple stores (including different ecom platforms) under the same platform to consolidate reports ?

Shopify offers Locations for multiple store and/or bin location inventory tracking. You can create a location for a pop-up, transfer the inventory to that location’s inventory for the show, sell from it, then report it after the fact and transfer the remaining inventory back to the original store. I use many identifiers for inventory in QuickBooks POS (UPC, barcode number, item number, product number). How does that work in Shopify POS?

Shopify POS will move the barcode field to the Product description. When you switch, you’ll be given the option to bring over your current barcode number to Shopify.

How do we handle returns if Sales History is not migrated?

You'll need to change your orders made in QuickBooks POS in Shopify. Adjust your inventory and issue a gift card for the value of the items returned.. Look for Shopify to improve on this returns process in the future.

Shopify Inventory Management

Do you support work orders, sales orders, layaways, and special orders?

Yes. Shopify has workflows to handle these types of use cases. Check out the Shopify Help Center and search for Orders to learn more.

Is there a limit to the number of items I can have with Shopify?

There’s no limit to the number of items you can have with Shopify.

Does Shopify support units of measure, assembly and/or fractional quantities?

No. Units of measure, assembly and/or fractional quantities aren’t a supported core workflow of Shopify. You can use third-party apps as a solution for your business. Check out the Shopify App Store to explore apps.

How do you receive inventory using purchase orders?

Use our Stocky native inventory solution to create and send PO's from vendors to match Shopify. To learn more, visit Shopify Help Center and search for Stocky. Stocky is available throughShopify Admin and Shopify POS on a mobile device.

Is Stocky a separate app we have to purchase or subscribe toi use Shopify POS?

Stocky is a separate app owned and managed by Shopify. It’s automatically installed on your account for merchants who switch from QuickBooks POS. It’s free with the Shopify POS Pro subscription.

Does the cost of goods sold flow from Shopify to QuickBooks Desktop?

Yes as long as you use the QuickBooks Desktop Connector app. If you use Stocky to manage inventory, Stocky can track the average cost of an item.

Is the description in an inventory item searchable or just the title?  Can we search by SKU?

Many fields on the product are searchable within Shopify POS, including the title, description, sku, barcode, etc.

Will Stocky let you spread shipping costs or discounts across the cost of products received?

Stocky will consider shipping costs and adjustments into the landed cost price of each item on a purchase order.

Note: You’ll need to add the landed cost to the purchase order in Stocky under Preferences, and then Purchase Orders The average costs or default costs is what syncs with Shopify and QuickBooks Desktop.

Is there a way to create separate price levels for different types of customers?

Yes. Do this through third-party apps that manage discount and price levels. If  you have Shopify 

Can you add things like color and size when creating inventory?

Yes! You can add these as variants to a product, with up to 100 variants total.

Is there a way to receive items from a vendor without making a purchase order first?

You can manually adjust items in the Shopify Admin or in Stocky to receive items that aren’t part of a purchase order.

Is there a way to track consignment inventory?

There are a few third-party apps that can potentially help with consignment.

Can inventory items have multiple vendors?

Items can only have one vendor but can belong to multiple suppliers. Check out the Shopify Help Center.

How do we track serialized items?

Shopify doesn’t support serialized inventory.

Shopify Hardware

Which hardware is included in the promotional discount?

What QuickBooks Point of Sale hardware is compatible with Shopify?

The 16” Star Micronics CD3 cash drawer is the same cash drawer Shopify sells and supports.

Can I print out receipts using a desktop printer?

Receipts are printed from Shopify POS on the Star Micronics receipt printer. You can only use a desktop printer with an app supported with Shopify POS like Shopify’s Order Printer app.

Can I use POS Go outside the store at other locations? 

The POS Go requires a WPA2 Wi-Fi network. Think about any inventory and tax differences when you sell outside your store location.

Does POS Go require a wifi network or a cell network?

The POS Go requires a WPA2 Wi-Fi network (see all requirements here).

Can I use Shopify POS with a PC?

No.  You’ll need  an iOS or Android to use the Shopify POS mobile app.

What are the requirements to use Shopify POS mobile app?

You’ll need an iOS or Android device to use Shopify POS.The Shopify POS app works with devices which meet the following requirements:

Do I need an internet connection to use Shopify?

You’ll need a wifi or cell connection to use real time inventory and credit card payments with Shopify. If you don't have internet, you can still take cash or custom payments and sell products. An inventory update will sync your sold products when you reconnect to your network.

Gift Cards and Payments

Do I have to use Shopify Payments?

No.. Without the activation of Shopify Payments, QuickBooks POS users can still switch to Shopify POS and save 20% of Shopify POS software. Shopify Payments is required to take advantage of the 50% off offer for Shopify POS software and select hardware.

What will happen to gift cards? Can I transfer my current information to Shopify? 

Yes. You can use a the third party app, Selling Point,  to move existing gift card data over to Shopify

Data and Data Location 

How do I know how much data I have?

Shopify doesn’t have a data limit. They have data centers worldwide for businesses using their platform.

How do I clean up my data?

Use the QuickBooks Desktop Connector app to merge and clean up data.

What if I don’t have phone numbers or email addresses for customers?

You can still bring them into Shopify.If youre use Shopify for an E-Commerce website, you can invite them to complete an account verification process and add those data points. You can manually update customer info as they continue to purchase from you though the POS.

How do I find out what types of apps are available for my business?

Visit the Shopify App Store to search for the type of app you need, like inventory management or loyalty. You’ll see a list of apps available. 

What are the cost of apps?

It depends on the type of app and its function. The developer of the app set the price points.

Is integration with specific apps that I use now possible?

If they’re on the app store, yes. If they aren't, you’ll need to check with the app developer.

Can you help me choose the right apps for my needs?

Shopify can help you. Just contact Shopify and they can help you grow with Shopify.
