Record a bank deposit in the mobile app

Learn how to record a bank deposit in the QuickBooks Online mobile app.

If you made a bank deposit in QuickBooks Online, you can record it in the mobile app. This helps you keep your accounting accurate, especially when you're on-the-go. Here’s how.

Note: If you linked your bank to QuickBooks Online, QuickBooks will automatically record the bank deposits in the mobile app. You can see them in the Bank deposits menu.

Review important info before you record a deposit

When you record a bank deposit, the QuickBooks Online mobile app shows different options. These depend on how you entered your transactions in QuickBooks Online.

  • Add funds: This is the default section in the Add a bank deposit window.
  • Select payments in this deposit: This section only shows when you choose the Undeposited Funds account as the Deposit to account for customer sales transactions.

    Note: If you have QuickBooks Payments, QuickBooks automatically records the bank deposits for your customers’ payments. For any other types of payments, you can record them as bank deposits in the QuickBooks Online mobile app.

Record a bank deposit in the mobile app

If you haven’t yet, download the QuickBooks Online mobile app for iOS or Android before you proceed.
Note: If you want to record a customer’s payment for an invoice, here's how to receive an invoice payment in the mobile app. Otherwise, proceed to the next steps based on which mobile operating system you use:

For iOS

  1. Open the QuickBooks Online mobile app.
  2. Tap Menu, then tap Bank deposits.
  3. Tap +. This opens the Add a bank deposit window.
  4. Tap the Bank account field, then find and tap the bank you want to record the deposit into.
  5. Tap the Date field, then select the date for the bank deposit.
  6. Tap Select payments in this deposit, then tap + Select payments.
  7. Select the payment(s) you want to add to the deposit, then select Done.
  8. (Optional) If you need to add funds to the deposit, follow these steps:
    1. Tap ∧ Add funds, then tap + Add line item.
    2. Tap Category, then tap the account you want to take the funds from so you can add it to the deposit.
    3. Enter the amount you want to add.
    4. Tap Received from, then tap the Customer or Vendor tab. Find and tap the customer or vendor you received the funds from.
    5. Fill out the optional fields as needed, then tap Save line item.
      Note: Repeat these steps if you need to add more line items.
  9. If you want to add a memo to the deposit, tap Optional fields. Enter your memo, then tap Save. Otherwise, proceed and tap Save.

For Android

  1. Open the QuickBooks Online mobile app.
  2. Tap Menu, then tap ALL.
  3. Tap Bank Deposit, then tap +. This opens the Add a deposit window.
  4. Tap the Bank account field, then find and tap the bank you want to record the deposit into.
  5. Tap the Date field, then select the date for the bank deposit. Tap OK.
  6. Tap Select payments in this deposit, then tap + Select payments.
  7. Select the payment(s) you want to add to the deposit, then select DONE.
  8. (Optional) If you need to add funds to the deposit, follow these steps:
    1. Tap ∨ Add funds, then tap + Add line item.
    2. Tap Category, then tap the account you want to take the funds from so you can add it to the deposit.
    3. Enter the amount you want to add.
    4. Tap the Class field, then find and tap the class according to your preference.
    5. Fill out the optional fields as needed, then tap Save line item.
  9. If you want to add a memo to the deposit, tap Optional fields. Enter your memo, then tap Save Deposit. Otherwise, proceed and tap Save Deposit.
