Learn how to create subaccounts in your chart of accounts in QuickBooks Online.

This helps you keep your chart of accounts organized and create more detailed reports.

Create a new subaccount

In Quickbooks Online, you can create a subaccount under a parent account. This lets you break down your income, expenses, and other account types.

Note: You can create up to five subaccounts under one parent account.

Here’s how to get started:

  1. Go to Settings ⚙, then select Chart of Accounts.
  2. Select New. Depending on your account view, you’ll either see the New account or the Account panel.
  1. In the Account Type ▼ dropdown, select the account type. 
  2. In the Detail Type ▼ dropdown, select the detail type.
  3. Enter the name of the account, then add a description.
  4. Select the Is sub-account checkbox, then enter the parent account in the Enter parent account ▼ dropdown.
  5. Select the start date of your opening balance in the ▼ dropdown. Then, enter your opening balance in the Account balance field.
  6. Select Save and Close.
  1. Select the Save account under ▼ dropdown, then select the parent account you want to move the account under.
  2. In the Tax form section ▼ dropdown, select the detail type that best fits the transactions you want to track. 
  3. Enter a name in the Account name field.
  4. (Optional) Enter a description in the Description field.
  5. In the Starting date and opening balance section, select the date for your opening balance.  Then, enter your opening balance in the Account balance field.
    Note: Make sure that your account info in QuickBooks matches your actual bank or credit card account.
  6. Select Save.

Change an existing account into a subaccount

  1. Go to Settings, then select Chart of accounts.
  2.  Find the account you want to edit. 
  3. In the Action column, select the View register menu▼. Then, select Edit.
    Note: Depending on your account view, you’ll either see the Account or the Edit account panel.
  1. Select the Is sub-account checkbox. Then, select the parent account parent account in the Enter parent account ▼ dropdown.
  2. Select Save and Close.
  1. In the Edit account panel, select the Save account under ▼ dropdown. Then, select the parent account you want to move the account under.
  2. Select Save.
