Onboard a client and create a close in Intuit Accountant Suite
In this video, we'll review Books close settings and walk through how to onboard a client and create additional closes.
Overview
Use Books Close in Intuit Accountant Suite to manage your clients' month-end closing procedures in one place. Assigning a client to a close template keeps your process consistent and helps your team track progress from onboarding through close.
Before you start
By default, admin roles in your firm can onboard clients. Admins can grant this access to additional team members. To learn how, see Assign access levels to team members in Books Close.
Create a close template before you onboard a client. If you set a custom template as your firm default, it’s selected automatically when you onboard. To learn how, see Set up Books Close templates in Intuit Accountant Suite.
Onboard a client and create a close
In Intuit Accountant Suite:
Go to All Apps
, then Books Close, then Overview (Take me there).Select Work, then Books Close.
Select Onboard close client.
In the Onboard close client window, select the Client dropdown and choose the client you want to onboard.
The close period is automatically populated with the last full month but you can select a different close period.
Select the Close template dropdown and choose the template you want to assign to this client. To build a new template, select + Create new template from the dropdown. If you set a custom template as your firm default, it’s selected for you automatically.
Select the team member(s) who will be assigned to work this client's close. The selected team members are filled in automatically for the tasks assigned to that role.
Select the Period dropdown and choose the closing period you want to set up.
Select Save to finish onboarding and return to the close overview, or select Save and start close to open the close workflow for the selected client and period right away.
| Note: • When you apply a template, we copy all of its customizations to the client. After you apply it, you can edit tasks in the close workflow for this client. Changes you make to the template later won’t flow through to this client’s close workflow. • If your firm doesn’t need multiple roles, you can disable the extra roles in Books Close settings. |
The client is now assigned to the selected Books Close template for the period you chose, and assigned team members can begin the closing tasks. If you don’t see the new close on the overview page, select the refresh button. Select Open on the client’s row to open the close workflow (file review) for that client and period.
Create additional closes
After you’ve onboarded a client, you can create additional closes for other periods from the Books Close overview page.
Select Create close.
In the Create close panel, select the Client (only clients already onboarded to Books Close appear here) and the Period.
Select Save to finish creating the close, or select Save and start close to begin the closing process for the selected period right away.
| Note: You can create closes up to the current calendar month and going back 24 months. |
