Add or change your payroll state account number

Learn how to add or change your state account number in QuickBooks Online Payroll and QuickBooks Desktop Payroll after you’ve started running payroll.

We need your state account numbers if you want us to pay and file your payroll taxes and forms for you, or if you want to use e-file and e-pay in QuickBooks Payroll. We’ll show you how to add them if you weren’t able to during your initial payroll setup. 

We’ll also help you change your state account number if it’s incorrect, or you had to enter a placeholder account number.

Add your state account numbers

  1. Sign in to QuickBooks Online as the Primary Admin. 
  2. Go to Settings ⚙, then select Payroll Settings.
  3. Next to your state tax, select ✎. Or if you need to add your local tax account number, select your state local taxes link. 
  4. Enter your Withholding, Unemployment Insurance, or local tax account number.
  5. Make sure your deposit frequency and any tax rates are added. 
  6. Select Save

Once we have your account numbers, go to Payroll and select Overview to review and complete any additional tax setup tasks such as e-sign authorization forms, register Intuit as your third-party administrator with your state, and connect your bank. 

It can take some time to enroll with the state agencies, so you may need to pay taxes or file forms on your own in the meantime.

  1. Go to Lists, and select Payroll Item List.
  2. Double-click your state Withholding, Unemployment, or other tax item.
  3. Select Next
  4. Enter your state account number. 
  5. Select Next until you can select Finish.

Change your state account number

  1. Go to Lists, and select Payroll Item List.
  2. Double-click your state Withholding, Unemployment, or other tax item.
  3. Select Next
  4. Enter your state account number. 
  5. Select Next until you can select Finish.
