Upload Bills to QuickBooks Desktop Mac Plus

Find out how you can upload your bills in QuickBooks Desktop Mac 2023.

Link a macOS Photos album to your company file to auto-fill bill entries for review. Review imported bill data, then match or add transactions.

Step 1: Import your bills

You can import bills automatically from a shared macOS Photos album. Or you can manually import as a PDF or an image. 

Automatically Import

  1. In QuickBooks, set up Photo Sync for Bills.
  2. Select Vendors, then select Bill Management.
    Note: You might have to enter your Intuit user ID.
  3. Review the imported bill info and images and make any necessary changes. 

Manually Import

  1. Select Vendors, then select Bill Management.
    Note: You might have to enter your Intuit user ID.
  2. Select +, then select Upload Bills or Scan.
  3. Browse and select bills, then select Open.

Step 2: Add and match your bills

Once you upload your bills, you can add or match them with what’s in QuickBooks. 

Create an attachment library

To associate an image to a transaction, you’ll need to create your attachment library before you add or match. The Attachment Center will store the image and display the link to the transaction.

  1. Go to Preferences, then select Attachments.
  2. Select Attachments library ▼, then select Create New.
  3. Choose a name and location for your attachments library.
  4. Select Save.

If your transaction is already in QuickBooks

  1. In Bill Management, select Matches.
  2. Select the transaction, then select Match.

If you just added the transaction in QuickBooks

  1. In Bill Management, select Details.
  2. Enter the required info. You can also enter additional details.
  3. Select Add to Register.
