Upload Bills to QuickBooks Desktop Mac Plus

Find out how you can upload your bills in QuickBooks Desktop Mac 2023.

Link a macOS Photos album to your company file to auto-fill bill entries for review. Review imported bill data, then match or add transactions.

Step 1: Import your bills

You can import bills automatically from a shared macOS Photos album. Or you can manually import as a PDF or an image. 

Automatically Import

  • In QuickBooks, set up Photo Sync for Bills.

  • Select Vendors, then select Bill Management.
    Note: You might have to enter your Intuit user ID.

  • Review the imported bill info and images and make any necessary changes. 

Manually Import

  • Select Vendors, then select Bill Management.
    Note: You might have to enter your Intuit user ID.

  • Select +, then select Upload Bills or Scan.

  • Browse and select bills, then select Open.

Step 2: Add and match your bills

Once you upload your bills, you can add or match them with what’s in QuickBooks. 

Create an attachment library

To associate an image to a transaction, you’ll need to create your attachment library before you add or match. The Attachment Center will store the image and display the link to the transaction.

  • Go to Preferences, then select Attachments.

  • Select Attachments library ▼, then select Create New.

  • Choose a name and location for your attachments library.

  • Select Save.

If your transaction is already in QuickBooks

  • In Bill Management, select Matches.

  • Select the transaction, then select Match.

If you just added the transaction in QuickBooks

  • In Bill Management, select Details.

  • Enter the required info. You can also enter additional details.

  • Select Add to Register.
