Use your QuickBooks Cash account and the QuickBooks Debit Card

Learn how to put money in and get it from your QuickBooks Cash account. QuickBooks Cash and the Cash Flow Center are available on mobile iOs. They'll be on the web soon.

Your QuickBooks Cash account isn't just an account to collect customer payments. It's your monthly fee-free checking account within QuickBooks. After you sign up for QuickBooks Payments, if you're approved, you get a QuickBooks Cash account and a debit card.

Use your QuickBooks Cash account to collect invoice payments, pay your business expenses, or save money for future expenses in envelopes. Use your QuickBooks Debit Card to withdraw money from ATMs or make purchases like any other Visa debit card.

Step 1: Set up your QuickBooks Cash account

If you haven't already, sign up for QuickBooks Payments and QuickBooks Cash. If you're approved, you get a QuickBooks Cash account. You'll get your QuickBooks Debit Card in the mail within 3 - 5 business days.

If you're a co-owner of the business that's signing up for QuickBooks Cash, there are a few extra steps. You'll see specific questions asking for more co-owner information when you sign up.

You don't have to fill out everything to sign up, but we highly recommend you do it right away. You can come back to the Cash Flow Center and finish this later on. You'll also receive email reminders.

You must submit all of your co-owner info within 30 days of signing up. If you don't, your account will be closed.

The key difference between QuickBooks Cash and other QuickBooks features is how it handles your accounting. Unlike your chart of accounts, QuickBooks Cash isn't just a record of your accounting. Your QuickBooks Cash account holds real money, just like any other bank account.

Whenever you go to the Cash flow menu, you'll see your QuickBooks Cash account balance at the top.

Step 2: Activate and use your QuickBooks Debit Card

Activate for your QuickBooks Debit Card when you get it in the mail:

  1. Open the QuickBooks mobile app on your iPhone or iPad.
  2. Go to the Cash flow menu.
  3. In the Debit Card info section, select Activate card.
  4. Create a PIN. This is the PIN you'll use to make withdrawals. Then select Next.
  5. Enter the card number, expiration date, and CVV.
  6. When you're done, select Confirm.

Step 3: Transfer money into and out of your QuickBooks Cash account

Your QuickBooks Cash account can do much more than hold money. You can use it to collect customer invoice payments. And if you want to save proactively, put some of your QuickBooks Cash into special subaccounts called envelopes.

If you connect an external bank account, you can move money to and from your QuickBooks Cash account.

Note: Connecting an external account to QuickBooks Cash is separate from online banking. You may need to set up an account you already linked for online banking a second time.

Put money into your QuickBooks Cash account

  1. Open the QuickBooks mobile app on your iPhone or iPad.
  2. Go to the Cash flow menu.
  3. In the QuickBooks Cash section, select Transfer money.
  4. Select Transfer in. If you're connecting an external account for the first time, this opens the connection window.

    When you select Transfer in or Transfer out, QuickBooks asks if you want to connect an external account:

    1. Follow the onscreen instructions.
    2. Enter the name and select a type in the Account Type field. Then select Next.
    3. Enter your info in the Account number and Routing number fields. Then select Next.
    4. When you're ready to connect, select Sounds good.

    QuickBooks will send two small deposits to the account within the next 3 days. After you get the confirmation email, come back to QuickBooks to verify the transactions.

    1. Select the verify link in the confirmation email. Or open QuickBooks Online, go to the Cash flow menu, and select Verify bank.
    2. Enter the two deposit amounts from QuickBooks. The order doesn't matter.
    3. When you're ready, select Confirm.

    Once you verify the connection, you're ready to go. Select Transfer money and start the process again. If you have problems connecting, reach out to our team so we can help.

  5. In the From field, select (+). Then select your connected account.
  6. In the To field, select your QuickBooks Cash account.
  7. Enter the amount you want to transfer into your QuickBooks Cash account.
  8. When you're ready, select Finalize transfer.
  9. Select Done when the transfer request is finished.

Take money out of your QuickBooks Cash account

You can transfer money from QuickBooks Cash to an external business bank account. You can also use your QuickBooks Debit Card to withdraw money from ATMs and make purchases

Transfer to an external business bank or credit card account

  1. Open the QuickBooks mobile app on your iPhone or iPad.
  2. Go to the Cash flow menu.
  3. In the QuickBooks Cash section at the top, select Transfer money.
  4. Select Transfer out. If you're connecting an external account for the first time, this opens the connection window.

    When you select Transfer in or Transfer out, QuickBooks asks if you want to connect an external account:

    1. Follow the onscreen instructions.
    2. Enter the name and select a type in the Account Type field. Then select Next.
    3. Enter your info in the Account number and Routing number fields. Then select Next.
    4. When you're ready to connect, select Sounds good.

    QuickBooks will send two small deposits to the account within the next 3 days. After you get the confirmation email, come back to QuickBooks to verify the transactions.

  7. Enter the amount you want to transfer out of your QuickBooks Cash account.
  8. When you're ready, select Finalize transfer.
  9. Select Done when the transfer request is finished.

Use your QuickBooks Debit Card

You can withdraw cash from any AllPoint ATM up to four times for free each month. After that, there's a $3.00 fee per withdrawal. You can also withdraw cash from other ATMs, but there may be a fee.

You can also make purchases with your QuickBooks Debit Card where Visa Debit Cards are accepted.

Step 4: Categorize your transactions

QuickBooks automatically categorizes as many QuickBooks Cash transactions as possible. However, it can't categorize everything. You need to periodically go to the Banking menu and categorize your QuickBooks Cash transactions.

Important: The first time you go to the Banking menu, select Add account to connect your QuickBooks Cash account. This pulls all of your transactions into the Banking menu.

Review your QuickBooks Cash transfers

  1. Go to the Cash flow menu.
  2. In the Recent activity section, select View all.
  3. Select All, Money in, or Money out to filter the list. To get more details, select individual transactions.

See your QuickBooks Cash monthly statements

  1. Go to the Cash flow menu.
  2. In the QuickBooks Cash section, select Manage Account.
  3. Select Account info and then Monthly Statements.

Manage your QuickBooks Cash account

  1. Go to the Cash flow menu.
  2. In the QuickBooks Cash section at the top, select Manage Account.
  3. Select Account info to view your Account number or routing number.
  4. Select Replace card or Reset Pin to get help with your debit card.

Get help with specific transactions

If you need to dispute a transaction, call the number on the back of your QuickBooks Debit Card.
