Does QuickBooks file and deliver my W-2s?

Learn what you need to do to make sure your W-2s get filed and your employees get them.

Creating and filing W-2s is an important part of managing your payroll. Depending on your payroll service, we either:

  • File and send your W-2s to your employees and the IRS for you
  • Or, you file your W-2s and then print and send them to your employees.

Select your payroll service below to find out what you need to do to take care of your W-2s this year.

W-2 filing and delivery depends on if you chose to have us pay and file your federal and state payroll taxes for you or if you opted to pay and file them yourself. If you aren’t sure, check your automatic tax payments and form filing status first.

If you have auto pay and file turned on (we pay and file for you)

W-2 filing

We file your W-2 forms for you with the IRS beginning January 8. You can view and print copies of your W-2s starting January 13.

W-2 delivery to your employees

We mail the W-2s directly to your employees’ home addresses starting January 10. If you've set up QuickBooks Workforce, your employees can also see copies of their W-2s online.

If you have auto pay and file turned off (you pay and file yourself)

W-2 filing

You need to file your W-2s electronically or manually on or after January 1.

W-2 delivery to your employees

You’ll need to print and send the W-2s to your employees. Per the IRS, the W-2s need to be postmarked by February 2 and received within 7 business days after the postmark.

W-2 filing

We file your W-2 forms for you with the IRS beginning January 8. You can view and print copies of your W-2s starting January 13.

W-2 delivery to your employees

We mail the W-2s directly to your employees’ home addresses starting January 20 through January 31. If you've set up QuickBooks Workforce, your employees can also see copies of their W-2s online.

W-2 delivery to your employees

You’ll need to print and send the W-2s to your employees. Per the IRS, the W-2s need to be postmarked by February 2 and received within 7 business days after the postmark.

We file your W-2 forms for you with the IRS on or shortly after January 1. You can view and print copies of your W-2s beginning January 13 if needed.

W-2 delivery to your employees

You have two options for W-2 delivery to your employees:

To select or change your W-2 print option, do the following no later than December 31. Note: You can't change this option from January 1 through February 15.

  1. Select Employees, then Payroll Center.
  2. Select the File Forms tab.
  3. Select View/Print Forms & W-2s.
  4. Enter your Payroll PIN.
  5. The default option is Intuit Print Service. If you want to change to Self-Print, select the Change W-2 printing option link, then select Self-Print.

W-2 filing

You need to file your W-2s electronically or manually on or after January 1.

W-2 delivery to your employees

You’ll need to print and send the W-2s to your employees. Per the IRS, the W-2s need to be postmarked by February 2 and received within 7 business days after the postmark.

W-2 forms are not available with this service. We recommend upgrading to QuickBooks Desktop Payroll Enhanced.
