View and print your W-2s and other documents in QuickBooks Workforce

SOLVEDby QuickBooks796Updated January 19, 2024

Learn how you can view and print your own W-2s online or through the QuickBooks Workforce mobile app.

Once your employer has invited you to QuickBooks Workforce, and you’ve set up your account, you can view and print your own W-2s. You can also view other documents your employer shares with you.

You may also be able to opt out of having your W-2 mailed to you by your employer.

Check out this video to set up and use QuickBooks Workforce.

Get your W-2s and other documents

You can view your W-2 copies B, C, and 2 by January 31. Historical W-2s are available up to the past 2 years. You should get your W-2 by mail in early February. If you haven't received it by then, and can't access it in QuickBooks Workforce, contact your employer.

For added security, you may need to verify your phone number or some of your personal info before you can see your W-2s.

  1. Tap Taxes. Or More, then W-2s
  2. Tap Download, then select the W-2 you want to view or print.
  1. Sign in to workforce.intuit.com.
  2. Go to the Documents menu.
  3. Select W-2s or Shared Documents.
  4. Select the W-2 copy or document that you want to view or download (and then print).

Go Paperless (if available)

If you don’t want a W-2 mailed to you, you may be able to opt out. This option isn’t available to everyone. It depends on the payroll service your employer uses.

You can change your paperless option for your current year W-2 at any time until January 3.

  1. Tap Taxes. Or Tap More, then W-2s.
  2. From Ditch the snail mail! Get paperless W-2s, tap Go paperless
  3. Select your W-2 delivery option.
  4. Review the W-2 delivery consent notice.  Tap Go paperless, then Got it.
  1. Go to the Documents menu.
  2. Select W-2s.
  3. From Ditch the snail mail! Get paperless W-2s, select Go paperless.
  4. Select your W-2 delivery option, then Save
  5. Review the W-2 delivery consent notice. Select Save and accept
