Start with the essential details

QuickBooks works best when it has the right data from the start. Before you begin, gather the records and account details that you use to manage your business information.

1. Company settings

The info your customers see on sales forms and invoices depends on what you set up in your account. It's also your internal info on file with Intuit.

2. Sales settings

Customize your sales forms, set payment terms, and decide what info shows up on forms for customers. If you're not sure what a setting is for, select the help icon to learn more about it.

3. Expense settings

Customize which fields show up on your expense forms, turn on billable expenses and purchase orders, and customize your email messages sent out with purchase orders. If you're not sure what a setting is for, select the help icon to learn more about it.

4. Advanced settings

Turn on custom categories, enter your company's fiscal year, explore automation options, and more. If you're not sure what a setting is for, select the help icon to learn more about it.

1. Chart of accounts

You use the chart of accounts to categorize your transactions on everything from sales forms to reports to tax forms. Each account has a transaction history and breaks down how much money you have or owe.

2. Add an account

You can tailor your accounts and categories to meet the unique needs of your business. Add or remove accounts, or rename existing ones to better fit your needs.

3. Set up classes

With classes, you can track your transactions by departments, product lines, or any other meaningful segments in your business.

4. Set up locations

With locations, you can categorize transactions from different offices, regions, outlets, or departments of the same company.

1. Connect your bank

When you connect your online bank in QuickBooks, the transactions automatically download for your review.

2. Review & categorize transactions

After you connect your bank, QuickBooks sends downloaded transactions to the Pending tab with suggested categories. Review them, make changes if needed, and approve.

3. Create bank rules

To streamline the process of categorizing transactions, you can create bank rules that automatically categorize transactions for you.

4. Manually upload transactions

If you can't find your bank or need to enter old transactions, you can manually upload them into QuickBooks.

Add your customers, products, and services, then learn how to send invoices and collect payments.

2. Products & Services

In QuickBooks Online, it's easy to track how much you make and spend on each product or service. Set up each product or service so you can quickly add them to sales forms and track how much you make and spend.

  • Know which fields are important and which ones you can skip when you set up a product or service

3. Invoices

After you've completed a customer's order, you'll create an invoice to request payment from them.

If your customers pay immediately at the time of service, skip this section.

If you need to request payment for products and services you sold, send your customers an invoice.

4. Estimates

When you want to give your customer a quote, bid, or proposal for work you plan to do, along with what they can expect to pay, create an estimate.

With QuickBooks Payments, you can see when customers view and pay invoices, and get an up-to-date picture of your cash flow. Learn more about QuickBooks Payments.

5. Record an invoice payment

When a customer pays an invoice, you need to record that payment to connect it to the invoice and balance your accounts.

6. Sales receipts

Enter a sales receipt when your customer pays immediately for the products or services you provide.

1. Bills

In addition to tracking sales, QuickBooks Online makes it easy to record business expenses. Entering your income and expenses gives a more complete picture of your business and profit.

If you have an expense with a future due date, enter it as a bill.

If you used another method to pay for an expense, like cash or credit, skip to the next section.

You can either record checks you've already written, or create checks you want to print from QuickBooks.

3. Expenses

For expenses that you paid for at the time of service, enter it as an expense.

4. Receipts

6. Billable expenses

When you incur an expense on your customer's behalf, you can mark it as billable to them.
