Customize paychecks and pay stubs in QuickBooks Desktop Payroll

Learn how to make your paycheck and pay stub to look the way you want it to.

Want to customize your paychecks and pay stubs? QuickBooks Desktop lets you customize the info that displays and prints on a paycheck voucher or pay stub. You can also set up your preferred fonts for paychecks before you print them.

Change fonts, add company name & address, logo and signature

  1. Go to File, then select Printer Setup.
  2. In the Form Name ▼ dropdown, select Check/Paycheck.
  3. Select Fonts tab, then select:
    • Font button to change the font used for most of the form.
    • Address Font to change the company name and address font.
  4. Select your preferred font, font style, and size.
  5. In the Settings tab, select all or any of the following:
    • Print company name and address
    • Use logo
    • Print Signature Image
  6. Select OK twice.

Note: The font for the numeric dollar amount is preset by QuickBooks Desktop to Arial 10-point font, and can’t be changed.

When you customize your employees’ paycheck vouchers and pay stubs, keep in mind that the following info can't be removed per FLSA recordkeeping requirements:

  • Salary or hourly rate, hours worked, and the amount of pay for the period
  • Pay period
  • Employee taxes
  • Deductions from and additions to wages
  • Taxable company contributions
  • Net pay
  • Year-to-date amounts for the preceding items
  • Company name and address
  • Employee Social Security number (This may vary by state. Check with your state for their legal requirements.)
  1. Go to Edit, then select Preferences.
  2. Select Payroll & Employees, then Company Preferences.
  3. Select Pay Stub & Voucher Printing button.
  4. In the Payroll Printing Preferences window, clear any of the info that you don’t want to be printed on the paycheck vouchers or pay stubs. Printing_QBDT_US_Ext_092822.png
  5. Select OK twice.
