
Connect your Square account for transaction syncing

You can connect your Square account to QuickBooks Online using the Connect to Square app. This automatically syncs your Square transactions, so you can keep your books up to date and match your sales with your bank deposits. Choose to import sales individually or as a daily summary.
Before you connect
For a smooth connection, make sure you complete these items first:
- Connect your bank account: Connect the bank account that Square uses for deposits. This helps us download your bank transactions and match them to your Square sales.
- If you track products and services, you can export your item list from Square as a CSV file and then put it into QuickBooks.
Step 1: Set up the Connect to Square app
Follow these steps to authorize the connection between QuickBooks and Square.

- Search for Connect to Square.
- Select Get app now, then select Get started.
- When prompted, select Give permission to authorize the connection.
- Sign in to your Square account.
- Choose the Square locations you want to sync.
- Select the bank account where you want to deposit your Square funds, then select Next.
- Choose how you want to import your sales:
- Individually: Imports each Square transaction as a separate record.
- Daily Summary: Imports a single summary of your sales for the day. Note: We recommend choosing a daily summary to prevent performance issues if you have many transactions.
- Select a start date for the transaction import, then select Finish.
After the initial setup, the app downloads your past Square transactions to QuickBooks and checks for new transactions multiple times a day.
Step 2: Review your synced Square transactions
Once your transactions are imported, you need to review and add them to your books.
- Go to Bookkeeping, then Transactions, and select App transactions.
- Select For review. Your imported Square transactions will appear here.
- For each transaction, choose an action:
- Add or Match: This transaction is ready to be added. If both QuickBooks and Square are connected to the same bank, you can match it to a transaction that's already in your books.
- After you review a transaction, it moves to the Reviewed tab. To see the details, select the sales receipt or deposit from the Added/Matched column.
Tip: For the most accurate sales data, first add transactions from the App transactions tab, and then match them from the Banking tab.
Manage app settings or disconnect
You can change your sync settings or disconnect the app at any time.
- Go to Bookkeeping, then Transactions, and select App transactions.
- Select App settings, then Square.
- Choose the tab for the setting you want to change.
- To stop syncing, select Disconnect Square.
- Select Done.
How to switch from the Sync with Square app
If you previously used the "Sync with Square" app, you must disconnect it before setting up the "Connect to Square" app.
- Go to Apps, then select My Apps.
- Select Sync with Square, select the Actions â–Ľ dropdown, and then select Disconnect.
- Choose a reason for disconnecting and select Confirm disconnect.
- Follow the steps in this article to set up the new Connect to Square app.
- After connecting, go to the App transactions tab and exclude any old transactions that were brought in by the "Sync with Square" app to avoid duplicates.
Change the income account for Square items
- Go to Get paid & pay or Sales, then select Products & services.
- In the Find products and services field, search for Square Item.
- Select Edit.
- In the Income account â–Ľdropdown, select the account you want to record to.
- Select Save and close.
