Update your business name and address for QuickBooks Desktop Payroll

Learn how to update your account name, legal business name and address for QuickBooks Desktop Payroll Standard, Basic, Enhanced, and Assisted.

If you recently changed your account name, legal business name or address, don't worry. We'll show you how to update your company info for your Desktop Payroll.

If you're using QuickBooks Desktop Payroll Standard, Basic, or Enhanced

Your account name linked to your Intuit account is created when you purchase or sign up for any Intuit product or service. Your Intuit account holds your business information like your EIN and QuickBooks subscription. Learn how to manage your Intuit account in CAMPS.

Note: Your request will be completed in 3 to 5 business days. Wait for an email from Intuit confirming the change of your account name or by checking on your Intuit account.
  1. Download the account name change form.
  2. Complete the form (signed and dated), then print it. Consider this when completing the form:
    • The “Old Intuit account name” on the form should match the business name as it currently occurs in your Intuit account.
    • The form must be signed and completed by the Primary Contact.
    • You will be notified through email if any information in the form is inaccurate.
  3. Prepare the following documents:
    • Current photo ID (Example: state issued ID, driver’s license or passport)
    • Proof of purchase for the service or product (Bank statement that shows the subscription payments, account number, and your name)
  4. Submit the completed form either through Fax or Email.
  1. From the top menu, select Company, then My Company.
  2. Select the Pencil icon, then Legal information.
  3. Enter the new legal business name/address, then select OK.

If you're using Direct Deposit to pay for your employees, follow these additional steps before your next payroll:

  1. Select Employees at the top, then select Send payroll data.
  2. Verify that there are no pending payroll transaction to send.
  3. Select Send.
If you have a Direct Deposit and can’t update your legal address, you can access the account maintenance page in QuickBooks to update your address.

If you're using QuickBooks Assisted Payroll

Important: We will not change your legal business name and address with the IRS. You must submit the change directly to IRS.
  1. Download the legal business name change form.
  2. Complete the form (signed and dated), then print it.Note: If you're also going to change your Intuit account name which is your business name known to us, check the box under the new fax number field.
  3. Upload your completed and signed form.

The next time you process your payroll, your company name will automatically update in QuickBooks Desktop. Learn how to manage your business information like your EIN and subscription in your Intuit account in CAMPS.

  1. Complete the IRS Form 8822-B, then print the form.
    Note: The form is required in order to change both legal and shipping address with Intuit. If you only need to update your legal address, we’ll accept an IRS letter showing the updated company’s legal address.
    • Consider this when completing the form:
      • Line 6 - New legal address
      • Line 7 - New mailing/shipping address
      • Sign and date of the form
  2. Upload your completed and signed form.
Note: Follow up with your state and local tax agencies to make legal address change to your payroll tax.
We will process your request for updating legal business name and address within 5 business days of receiving the form. We’ll contact you if we still need additional information. The account maintenance team works from 7AM - 3PM PST.
