I also wouldn't want to memorize passwords. However, we’re dealing with company data. Your clients’, vendors’, and employees’ information are there, too, and need to be protected. We’ll want to ensure that only authorized users have access to your company file, and the file is not vulnerable to data thieves.

 

The following Personal Identifiable Information (PII) and setting will trigger the password requirement in QuickBooks Desktop:

  • The Credit Card Protection feature is enabled (Company > Customers Credit Card Protection)
  • Employee and Company Social Security Number
  • Company EIN
  • Company Bank Details (Routing Number, Account Number)
  • Company Credit Card Acct. Number
  • Fixed Assets Account Number
  • Other Assets Account Number
  • Other Current Assets Account Number
  • Loan/Other Current Liability Account Number
  • Long-Term Liability Account Number
  • Vendor Tax ID
  • Vendor Account No.
  • Employee's Birth Date (QuickBooks 2018 versions only)

On the other hand, you have the option to keep yourself logged in for a maximum of 90 days. You can use this while we're unable to turn off the password prompt. You'll be logged out after that, and you can use the reset tool in case you forget your password.
