How Do i add the P60's to the payroll pack for the employer.

Including the P60s in the employer's payroll pack depends on your version of QuickBooks Online (QBO). Let me guide you with the details.

 

If you are already migrated to QuickBooks Online Payroll Core you have the ability to download Payroll history that contains the P60s of your employee.

 

Here's how:

 

  1. Go to Payroll.
  2. Select Overview.
  3. Click on DOWNLOAD PAYROLL DATA (it includes P11, P32 document, P45, P60, and pay slips).
  4. Open the downloaded zip file. (historic data)
  5. Click on the Name of the employee reports.

 

However, if you're using QuickBooks Online Advanced Payroll and completed the final payroll of the tax year, follow these steps.

 

  1. Navigate to Payroll and select the Payroll option.
  2. Click the Reports tab.
  3. Select P60 End of Year Certificates.
  4. Choose the correct Financial Year from the dropdown list.
  5. Click Show P60 certificates.
  6. Select Actions.
  7. Choose to Publish or Download the P60 form.

We've run the final pay runs for March 25. So planning for next steps:

 

When will P60s be available for 24/25? There is nothing in the Documents tab atm.

 

And when can we run the first payroll for 25/26 (April 25)?

I have also run the 24/25 M12 payroll for a number of clients and submitted the FPS to HMRC - No P60s have been generated - I never had this problem with Standard or Advanced payroll and could generate P60s as soon as the M12 payroll was run.. When will the system generate the P60s for Core Payroll ?

If you are using Core payroll you can create a new pay schedule via the employee employment details (strange place for it I know) : Once you create a new schedule you can then assign employees to it

 

Create a new pay schedule

  1. Go to Payroll and select Employees (Take me there).
  2. Select the employee you want to update.
  3. In the Employment details section, select Edit.
  4. From the Pay schedule ▼ dropdown, select + Add pay schedule.
  5. Select a Pay frequency, Next payday, and End of next pay period.
  6. Enter a Pay schedule name.
    Note: Uncheck the box if you don't wish to use this pay schedule for employees you add after this one.
  7. Select Save.

To change the pay schedule for some of your employees, you can either edit an existing one or create a new schedule, @Three Winters. I will explain the process to you below.


If you're using the QuickBooks Online (QBO) Core Payroll, you can follow the steps outlined above by @Buzzit. However, if you're using the QBO Advance Payroll, you can easily modify an existing pay schedule or have a new one and assign it to your selected employees. Here's how to proceed:
 

  1. Navigate to the Payroll menu and select Payroll Settings.
  2. Click on Pay Schedule. To modify an existing pay schedule, select the schedule you want to change, update the Frequency and Included Employees, and then click Save.
  3. If you want to create a new pay schedule, click the Add button.
  4. Enter the necessary details, and once completed, click Save.

 

 

Once you have created the pay schedule, you can now assign it to your employees. Here’s how:
 

  1. From the Payroll, hit Employees.
  2. Choose the employee you want to edit, then tick Pay Run Defaults.
  3. In the Pay Schedule, select the newly created schedule and click Save.

Additionally, keeping track of the payroll for your employees allows you to understand the financial health of your business and manage your members effectively. For added convenience, you can run a payroll report directly in QBO.

I discovered that if you update the active tax year to 25/26, the P60s for 24/25 become available in the 'Documents' tab.

Thank you for the info on where to find the year end P60's (2024/2025) - they just used to appear in employees records at the end of the financial year in the good old days before they changed us to the Core payroll

Currently, QuickBooks Online (QBO) Payroll can only generate and download individual P60 forms for each employee. JW3000. I'll discuss the specific details below.

 

This is due to several reasons, such as protecting sensitive employee information, the complexities of implementing such a feature while ensuring data accuracy, and compliance with payroll regulations.

 

Handling multiple P60 forms requires you to individually access, print, or save them for each employee. This process not only guarantees the correct generation of each P60 form but also allows for thorough review, ensuring utmost accuracy and adherence to compliance standards.

 

Here's how to generate a P60 for your employees in QBOP Core:

  1. First, ensure that the last payroll of the tax year has been run and finalized.
  2. Then, navigate to the company cog and select Payroll settings.
  3. From there, click on the Active tax year, then 2025-2026.
  4. Afterward, proceed to the Payroll menu.
  5. Under the Employees tab, select the specific employee for whom you want to generate the P60.
  6. Lastly, select Documents, then click P60 to issue the form for that employee.

 

Please note that:

  • All payroll records for the tax year should have been processed and finalized before generating P60 forms.
  • P60s are generated only for employees who have completed a full year of employment with you. This includes making any required adjustments for taxes and national insurance to ensure that all financial records are accurate and up to date.

Where do I find P60s? And why am I having to search? This used to be an easy exercise - everything delivered for month 12 and now it's like hide and seek. For company whose brand is intuit, this new and improved payroll system is no longer intuitive!

Once you have run your final payroll for 24/25, you need to update the active tax year to 25/26.

 

Then the 24/25 P60s appear, if you go to Payroll > Employees > [select an employee] > Documents.

 

Unfortunately it doesn't seem that we can download all P60s into a single PDF like we used to. You have to go employee-by-employee and download them individually.
