Cancel payroll services but keep employees
Hi. We are now getting our payroll done through another company. So I was going to cancel our desktop payroll subscription. It keeps telling me my payroll and taxes are overdue. Wondering if all the employees will disappear once I do that? I would like to be able to keep them if possible for past payroll reports or inquiries about past pay stubs. Thank you!

Hi there @rhowie.
I can definitely understand wanting to have access to historical payroll data. You never know when you’ll need that information.
When you cancel a QuickBooks Payroll subscription, you will still have your Employee list. There will be limitations on payroll reports, tax forms, and other data depending on what payroll subscription you have.
For details on your payroll subscription, check out this resource: Cancel your QuickBooks Payroll Subscription
Let me know if you have any additional questions about your payroll data or anything else. I’m here to help whenever you need me.

Your confusion ends here, @rhowie.
Yes, you're right. You can still work with your QuickBooks company file after canceling your payroll subscription. However, you won't be able to recreate any payroll tax forms. You'll just want to make sure you complete your final payroll, print the necessary payroll reports, and save a copy of all the tax forms you created. Once you're ready to cancel it, you can follow the steps below:
- Go to the Employees menu, then select My Payroll Service and choose Account/Billing Info.
- Sign in using your Intuit Account login and the Account Portal page will open.
- Click Cancel Service.
- Follow the on-screen steps to cancel your payroll service.
I'm adding this article for more guidance: Cancel Your QuickBooks Payroll Subscription.
Just in case you want to reactivate your QuickBooks payroll subscription in the future, you can check out this article for the detailed steps: Reactivate your QuickBooks Payroll subscription.
Please know you can continue to reach me here with any additional questions. I'm still open to your replies, @rhowie.

Employees and payroll
Hi there, Caralin. We're sorry to see you go. Let me share some ideas about canceling a payroll account.
Canceling your Payroll Subscription can be done by going to QuickBooks Online (QBO) settings. Before doing so, there are things you'll have to consider. Once your payroll account is canceled, you'll have access to the data for six months after the end of the tax year in which that data was collected. Make sure that you've done the following as well:
- Paid any outstanding tax deposits
- Filed any outstanding quarterly forms
- Printed necessary payroll reports
To start canceling the payroll account, you must be logged in as a Master Admin or Company Admin. Here's how:
- Go to the Gear icon.
- Under Your Company, select Account and settings.
- Select the Billing & Subscription tab.
- In the Payroll section, click Cancel.
- Fill out the online cancelation form to complete your cancelation.
Also, please take note that after canceling the service, you'll no longer be able to pay any outstanding tax deposits, print payroll reports, and file forms. You can check out this article for more information: Cancel Your QuickBooks Payroll Subscription.
I've added this reference to know about the steps on how to reactivate your QuickBooks Payroll subscription, just in case you want to get back: Cancel and reactivate your Online Payroll account.
