Manage your QuickBooks Payroll subscription

This article will help you to upgrade, downgrade, or cancel your QuickBooks Payroll powered by Employment Hero subscription.

Before you start

  • You must have an active subscription or trial to upgrade or downgrade.
  • Upgrading from Standard to Advanced may initiate a pro-rata charge depending on where you are in your billing month.

Follow these steps to upgrade/downgrade your subscription:

  1. Select the Gear Icon on the top-right of QuickBooks, then select Account and Settings.
  2. Select Billing & Subscription from the navigation menu to review your current subscription.
  3. Select Upgrade/Downgrade your plan. Only one or the other will show depending on your subscription type.

4. On the Upgrade/Downgrade screen, choose the plan you want to upgrade or downgrade to, or select Stay on plan if you don't want to make any changes.

Before you start

  • There are no pro-rata refunds for Advanced subscription costs.
  • Cancelling a payroll trial will stop the trial straight away.
  • Cancelling an active product will only be impacted as of the next major billing date. Once you cancel, will be billed one final time for each unique employee paid, on your next invoice.

After cancelling your QuickBooks Payroll subscription, your data will remain available in read-only access for 12 months from the cancellation date, as long as you log in once every few months.

You'll need to log in once every 100 days following your cancellation to keep the connection between QuickBooks Online and QuickBooks Payroll powered by Employment Hero alive, and ensure it doesn't expire before your 12 months are up. If the connection expires within the 12 months for any reason, you'll need to contact us to get access to your read-only payroll data.

Follow these steps to cancel your subscription:

  1. Select the Gear Icon on the top-right of QuickBooks, then select Account and Settings.
  2. Select Billing & Subscription from the left menu to review your current subscription.
  3. Select Cancel subscription.

4. Make a note of the last billing period date, then select Continue to cancel.
