Test your invoice delivery from QuickBooks Online

Want to save time and send your invoices directly from QuickBooks Online? Here’s how to feel more confident in the fact that your invoices are being sent correctly to your customers.

How to test that your invoice is being sent correctly

There are two ways to test your invoice delivery in QuickBooks Online. Select the following headings to get the information you need.

This will only send the invoice to you. You can then send the invoice to your customer in a seperate action.

  1. Select New and then Invoice.
  2. Prepare the invoice as normal.
  3. Enter your email address into the Customer email field.
    • This won’t impact the customer’s actual profile information. It simply edits the email address associated with this unique invoice.
  4. Select Save and send.

Once saved and sent, the test invoice will be saved in your records. Therefore, it’s important that you go and delete the test invoice to avoid doubling up on your invoice count.

To delete the test invoice, follow these steps.

  1. Select Get Paid and Pay from the navigation menu, then select Invoices (Take me there).
  2. Select the test invoice to open it.
  3. Select More Actions, then select Delete.
  4. Select Delete again on the confirmation window.

Setting this up means that QuickBooks Online will simultaneously send you copies of the invoices being sent to your customers.

  1. Select the gear icon in QuickBooks Online.
  2. Select Accounts and Settings.
  3. Select the Sales tab.
  4. Navigate to and select the Messages section from within the Sales tab.
  5. Tick the box to Email me a copy at [your email address].
  6. Select Save.
  7. Select Done.

Additionally, you can copy in (CC) or blind copy in (BCC) other stakeholders to the invoice email from this section.

Next steps and troubleshooting

Once you've received your test invoice and have confirmed that everything looks right, you can now confidently send the invoice to your customer through QuickBooks Online.
