When do I need to submit payroll to pay employees on time?

Learn how to pay employees on time with direct deposit.

With payroll, you can pay employees on time by submitting your payroll on the right day. Make sure you understand when to submit payroll and the lead time of your payroll service.

Understanding lead times and your payroll submission days

Lead times, or sometimes called funding times, and payroll submission dates are something we’ll talk about a lot as we discuss direct deposit. So let’s make sure we know what these both mean.

Lead time is the span of time between the day you submit your payroll and the day your employees receive their direct deposits.

Payroll submission day is the day of the week that you submit your payroll.Your lead time will determine what your payroll submission day will be.

These services may have a 2-day lead time. This means you need to submit payroll by 5:00 PM PST 2 business days prior to payday.

After you’ve submitted payroll, you can still void or add paychecks up to 4:59 PM PST that day. After 5:00 PM, payroll begins processing and cannot be stopped.

With these products, you may have a 1-day lead time or a 5-day lead time.

1-day lead time

This means you need to submit your payroll before 5:00 PM PST 1 business day prior to payday.

After you’ve submitted payroll, you can still void or add paychecks up to 4:59 PM PST that day. After 5:00 PM, payroll begins processing and cannot be stopped.

5-day lead time

This means you need to submit your payroll before 5:00 PM PST 5 business days prior to payday. If payday is on a Friday, you’ll need to submit payroll the Friday before payday.

When you submit your payroll, your money will draw from your account that day. Your employees will see the money on payday.

With QuickBooks Online Payroll Full Service, QuickBooks Online Payroll Premium, and QuickBooks Online Payroll Elite, you may have same-day direct deposit or a 5-day lead time.

Same-day direct deposit

There are two options for same-day direct deposit.

You can either submit payroll before 7:00 AM on payday or before 5:00 PM on the day before payday.

When you submit your payroll before 7:00 AM PST on payday, your money will draw from your account the same day. Your employees will see the money by 5:00 PM (for the employee’s bank timezone).

After you’ve submitted payroll, you can still void or add paychecks until 6:59 AM PST that day. After 7:00 AM, payroll begins processing and cannot be stopped.

If you approve your paychecks before 5:00 PM PST the business day before payday, we’ll process the direct deposit and debit your account the day before payday. Your employee will receive the funds the next day (on payday).

After you’ve submitted payroll, you can still void or add paychecks until 4:59 PM PST that day. After 5:00 PM, payroll begins processing and cannot be stopped.

5-day lead time

This means you need to submit your payroll before 5:00 PM PST 5 business days prior to payday. If payday is on a Friday, you’ll need to submit payroll the Friday before payday.

When you submit your payroll, your money will draw from your account that day. Your employees will see the money on payday.

Be sure you have funds in your account to cover the payroll on the day it’s submitted. Keep in mind, Intuit won’t process your payroll on weekends or on state or federal holidays.
