Correct or change 1099s in QuickBooks

by Intuit Updated 3 months ago

Learn how to make corrections to 1099-NEC or 1099-MISC forms after you e-filed them.

If you filed your 1099-MISC or 1099-NEC forms you may need to correct an error or filing on your 1099.

Important: Per IRS regulations, you must file corrections the same way the original forms were filed. If you e-filed your original form, you must e-file your corrected form. If you printed the original form, you must print the corrected forms.  For more information see Understand the IRS regulations for filing 1099s and W-2s and E-file Forms 1099 with IRIS.

If you haven't filed yet: Learn how to fix missing info and e-file.

If you've already filed: If you filed your 1099s in QuickBooks Online, you may be able to correct 1099s directly in your product.

If you haven’t done so already, correct the contractor info in QuickBooks. The info for 1099 corrected forms comes from your contractor transactions.

Step 1: Confirm the IRS accepted your 1099s

The IRS must accept the 1099 before you can correct it. To confirm:

  1. Go to the 1099 filings tab
    1. QuickBooks Online and QuickBooks Online Payroll: Go to Taxes, then 1099 filings.
    2. QuickBooks Contractor Payments only: Go to 1099 filings.
  2. In the Status column, look for Accepted.

Step 2: E-file your 1099 correction

  1. Go to the 1099 filings tab
    • QuickBooks Online and QuickBooks Online Payroll: Go to Taxes, then 1099 filings.
    • QuickBooks Contractor Payments only: Go to 1099 filings.
  2. Select Correct next to the form you want to fix.
    • Note: Your business info must be the same as the original file accepted by IRS. If you’ve made changes since you filed, change them back.
  3. The accounts and boxes you previously chose will appear. These are the accounts that represent the payments or expenses you paid to your contractors, and the corresponding 1099 box. To delete an account select Remove next to the row. To add or change an account select Select accounts.
    • If you filed for a contractor by mistake, remove all the accounts listed here and go to Step 5.
  4. If you want to change the 1099 box, select the dropdown ▼ next to the account and select the 1099-NEC or 1099-MISC box that represents the type of payments made to your contractors.
  5. Select Next
    • If you make any changes to your accounts or 1099 boxes, you’ll get a message that other 1099 forms may also be affected. Check your other contractors' 1099 forms and fix if needed. Select Got it to continue.
  6. Verify the Corrected total is what you expect.
    • Note: if the contractor payment total is now below the 1099 threshold, and they ‌no longer need a 1099, the Corrected total will be $0.00.
  7. Check your contractors' personal info and email addresses. Select Edit ✎ to make any changes. Select Next.
  8. Select Preview to view each corrected 1099.  Select E-file corrected form twice.
    • Note: We won't email or mail copies of corrected 1099 forms to contractors. You must provide a copy to the contractor yourself.
  9. Repeat these steps for each 1099 form you want to correct.

QuickBooks Online, QuickBooks Contractor Payments and QuickBooks Online Payroll only support certain types of corrections.

Wrong company or contractor address

You don't need to issue a corrected 1099 for an ‌incorrect address.

Wrong company name or company EIN, SSN or TIN.

We don't support corrected 1099s forms for incorrect company names or company IDs. To fix this, send a letter to the IRS. Include the following info:

  1. Name and address of the payer.
  2. Type of error (including the incorrect payer name/TIN that was reported).
  3. Tax year.
  4. Payer TIN.
  5. Transmitter Control Code (TCC).
  6. Type of return.
  7. Number of payees.
  8. Filing method (paper or electronic).
  9. Was federal income tax withheld?

What we e-file with the IRS depends on what you corrected on your 1099 form.

Same 1099 form, but wrong box or amounts

If the only info corrected was the box type, or the amount in the box, we e-file the corrected form with the corrected checkbox selected.
A 1099-NEC with an arrow pointing toward the corrected checkbox that is checked.

Amount in boxes drops below the threshold

Usually, the IRS threshold for 1099 reporting is $600. If the corrected amount falls below the IRS threshold, we do the following when we e-file with the IRS:

  • The corrected checkbox is selected on the form.
  • The box with the incorrect amount will be filed at zero dollars ($0).

Wrong 1099 form, or contractor name or TIN is incorrect

If you filed the wrong type of 1099 form, or the contractor name or TIN is wrong, we do the following when we e-file the correction with the IRS:

  1. E-file the original form again:
    • The corrected checkbox is selected on the form.
    • The form will include the original contractor info and TIN.
    • All boxes will be zero dollars ($0).
  2. E-file a new form with the correct info.

You'll need to work directly with the IRS to amend or correct your 1099 forms. Use these IRS instructions to do so. Once corrected, provide the corrected return to the recipient or contractor yourself.
