Set up schedule pay in QuickBooks online

Learn how to set up a scheduled payment for an invoice in QuickBooks Online.

Have your customers choose when they would like to pay once they view the invoice. They can choose any date to pay up until the due date.

Note: Schedule pay is available for your customers as long as you accept online payments for your invoices.

Set up Schedule Pay

Your customers will see the Schedule Pay option when they select Review and Pay on the invoice.

They won’t see this option if:

  • The invoice is due on receipt.
  • Your customer edits the amount to be paid. It must be for the full amount.
  • The original amount of the invoice is $50,000 or greater.
  • They don’t have an Intuit Account. They can create an Intuit Account to use Schedule Pay.

Show your customers how to use Schedule Pay

Ask your customer to open the invoice you sent and do the following:

  1. Select Set a date.
  2. Sign in to their Intuit Account.
  3. Enter the desired date (before the due date).
  4. Select Schedule payment.

They'll receive a confirmation email when it’s set up.

Check the Schedule Pay status

  1. Go to Get paid & Pay or Sales, then select Invoices.
  2. Find the invoice you want to check.
  3. Select the status field of that invoice.
  4. On the activity tracker, find Schedule Pay to see if your customer has set it up.

Important: Schedule Pay is canceled if you edit any of the following on the invoice:

  • Amount
  • Frequency
  • Terms
  • Payment options
  • Email address
  • Customer name

The customer will receive an email notification if their scheduled payment is canceled.

Customers can also cancel Schedule Pay when they select the Cancel payment link in their Schedule Pay confirmation email. After canceling, they can schedule a new one or pay the invoice immediately.
