Schedule appointments in QuickBooks Online

Learn how to set your availability, and schedule video meetings with existing customers and new leads in QuickBooks Online. 

Scheduling appointments in QuickBooks Online helps you reach and build relationships with your customers all in one place. When you set up meetings, you can share face-to-face your business goals, and attract new customers.

Set availability

To set your availability, follow these steps.

  1. On your dashboard, go to the CUSTOMER HUB, then select Appointments.
  2. Select Set availability to enable customers to book time with you when you're available to meet.
  3. Enter your time zone, weekly availability, or add specific time slots if different from your usual weekly availability. Make sure to set times that you’ll be available. Select + Add to set time intervals.
  4. Select Save availability.

Schedule appointment

To schedule your appointment, follow these steps.

  1. After you set your availability, select Schedule appointment.
  2. Select the customer you want to send a meeting invite to.
  3. If you want, enter a message in the box, then select Send invite.
    Your customer will receive an email with a link to schedule a meeting based on the availability you set.
  4. When your contact successfully schedules a meeting, both of you will receive a confirmation email. In the email, they’ll see a link to join the meeting.

Note: Appointment bookings can be made up to 30 days in advance.

Join video meeting

Your scheduled meetings are listed in the Upcoming meetings section of your Appointments page.

  1. Select Join to start a 30 minute meeting at the time shown.

Note: If the video doesn't load, contact your web-cam manufacturer for support.

Reschedule appointment

If you need to reschedule your appointment, follow these steps.

  1. Select the row that has the appointment details you want to reschedule. 
  2. Select a new date and time. 
  3. Select Reschedule appointment.
    Your contact will get an email with the rescheduled appointment details.

Cancel appointment

  1. Select the row that has the appointment details you want to cancel. 
  2. Click Confirm. 
    Your contact will get an email with the canceled appointment details.

Manage calendar connections

To stay organized, and keep up with your meetings, you can sync your calendar accounts in QuickBooks Online.

To add your calendars, follow these steps.

  1. On your dashboard, go to the Customer Hub, then select Appointments.
  2. Select Settings, then select Manage calendar connections.
  3. Select the account you'd like to connect to.
  4. Log into your account and give consent to share your data.
  5. Select Continue.
  6. Review your data settings.
  7. Select sync now.
  8. Your Appointments dashboard will display your connected account.
  9. Select Disconnect if you want to disable your account.
