View QuickBooks Time timesheets

Learn how to view your team members’ timesheets in QuickBooks Online and QuickBooks Time.

View the actions taken related to the selected timesheet, including clock-ins, job or customer switches, clock-outs, edits, and more.

View timesheets

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Time, then Time entries (Take me there).
  2. Choose Date from the Display by ▼ dropdown.
  3. Choose a predefined date range from the Date range ▼ dropdown. You can also select Custom to customize the date range.
  4. Choose a Team member.

  2. Choose Customer from the Display by ▼ dropdown.
  3. You’ll see a list of customers with the total time recorded for each within the selected date range.
  4. To view associated time entries, select any customer record displayed on this page. It’ll show all associated time entries that rolled up into that customer for that date range.
  1. Go to All apps A bunch of numbers and letters on a tile wall., then Time, then Time entries (Take me there).
  2. Select All Team members from the Display by ▼ dropdown
  3. You’ll see a comprehensive list of all your team members, along with their associated time details for the selected date range.
  4. To view associated time entries, select any team member's row in this view. It’ll bring up a detailed listing of all individual time entries that have rolled up into that specific team member for the selected date range. This allows you to review the granular breakdown of their recorded hours.

This section is similar to the view timesheets by All team members but the list is either filtered by just employees or just contractors

In QuickBooks Time, go to Time Entries, then Timesheets.

  • Select My to for your own timesheet or All for you and your team members’ timesheet.
  • Search and select your name or your team member’s name.
  • For the date, select Today or select Day, Week, Month, Year, or Pay Period from the ▼ dropdown menu.
  • Select Calendar to select a different date.

Interact with timesheet records

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Time, then Time entries (Take me there).
  2. Select any individual timesheet record in the table to open it.
  3. If the timesheet is approved, it opens in view mode.
  4. If the timesheet is unapproved, it opens in edit mode.
  5. At the end of each timesheet row, under the Actions column, you'll find an Edit button and ▼ dropdown menu. From the ▼ dropdown menu you can:
    a. Delete Record: Delete the record if the timesheet is unapproved.
    b. View Timesheet History: View all actions taken related to the timesheet, including clock-ins, job or customer switches, clock-outs, and edits.

In QuickBooks Time, go to Time Entries, then Timesheets.

  • There are three actions you can take next to any timesheet that isn’t locked.
    • Select Edit Time to make changes to a timesheet.
    • Select View Log to view all timesheet history, including edits.
    • Select Delete Time to delete a timesheet.
  • Manager edits are indicated by Edited by Manager next to a timesheet. To view these edits, select View Log next to the timesheet. The user field is displayed in red for manager edits.
  • If the Location column is displayed:
    • If you have location tracking turned on, select display map to view the associated GPS map.
    • If QuickBooks Time Web displays, this indicates time tracked from a computer's web browser.
    • If Automated displays, it was a clock in performed automatically for the user, like after an automatically ended break.

Customize the display

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Time, then Time entries (Take me there).
  2. Select Action ⚙.
    • Choose which columns are displayed by selecting Show columns, and select or uncheck the items you want to show or hide.
    • To customize how the hours are viewed choose one from the available options of 1h 30 mins, 1:30, 1.50
  1. Go to Time Entries, then Timesheets.
  2. Select Settings ​​⚙ next to the Notes column.
  3. Select which items you want to display from the Show columns. Only 6 columns can be displayed at a time, including any custom fields you’ve set up, photo attachments, and geofencing flags. 
  4. Select Wrap text to expand the rows to make all text entries visible.

You can customize which column you want to display or hide.

  • Name
  • Time
  • Hours
  • Billable
  • Customer
    • Service
    • Class
    • Location
    • Billable Rate
    • Status
  • If the Location column is displayed: If you have location tracking turned on, select the location icon to "display map" to view the associated GPS map.
  • In/Out via can have one of the following options- 
    • If "Website" displays: This indicates time tracked from a computer's web browser.
    • If "Automated" displays: This means it was a clock-in performed automatically for the user, like after an automatically ended break.
    • If “iOS or Android” displays : This means it was a clock-in performed by the user from the workforce mobile app
  • If attachments is displayed : If you have attachments turned on, select the paperclip icon to view the attachments
