Print or reprint paychecks and pay stubs

You can print paychecks for a current payroll, or print/reprint them from a historical payroll, on the standard check and voucher stock you use to print regular checks. If you pay your employees by direct deposit, you can print their pay stubs.
First, configure your printer settings for paychecks before you print paychecks or pay stubs. Then, follow these steps to print paychecks or pay stubs.

QuickBooks Online Payroll
Set up your printing preferences
- Go to Settings ⚙️, then select Payroll settings.
- In the Printing section, select Edit ✎
- Select how you’d like to print your paychecks or pay stubs:
- Pay stubs on plain paper.
- Paycheck on QuickBooks-compatible check paper. Select the type of QuickBooks voucher you have (paycheck and 1 pay stub or paycheck and 2 pay stubs). Then select Align check to set up the alignment.
- Select Save.
Note: You can also access your printing preferences at the end of creating payroll. On the Payroll is done window, look for Change print settings.
Print paychecks or pay stubs
- Go to All apps
, then Payroll, then Employees (Take me there).
- Select Paycheck list below Run payroll.
- Select the paycheck you want to print. You can select Filterâ–Ľ to change the Date range or Employee.
- In the Action column, select Print pay stub.
- A preview of the paycheck or pay stub opens. Select the printer icon to print.
Reprint paychecks or pay stubs
- Go to All apps
, then Payroll, then Employees (Take me there).
- Select Paycheck list below Run payroll.
- Select the paycheck you want to print. You can select Filterâ–Ľ to change the Date range or Employee.
- In the Action column, select Print pay stub.
- A preview of the paycheck or pay stub opens. Select the printer icon to print.
QuickBooks Desktop Payroll
Set up your printing preferences
Set up paychecks:
Set up your printer and choose what type of check paper and add-ons you want on your paychecks.
- Go to File, then select Printer Setup.
- In the Form Name dropdown â–Ľ, select Check/Paycheck.
- Select the Settings tab.
- Select your Printer Name and Printer Type.
- Choose your Check Style of Voucher, Standard, or Wallet.
- Select the additional options to print your company name and address, logo or image.
- Select OK.
Set up pay stubs:
- Go to File, then select Printer Setup.
- In the Form Name â–Ľ, select Pay stub.
- Select your Printer Name and Printer Type.
- Select OK.
Print paychecks or pay stubs
- Go to File, then select Print Forms.
- Select Paychecks.
- Select your payroll Bank Account â–Ľ.
- Make sure that the number in the First Check Number field matches the number of the first check in your printer.
- Select Paycheck or Direct Deposit.
- Direct Deposit: QuickBooks will print advice of deposit forms for direct deposit paychecks. These forms are non-negotiable checks and print on the same check stock you use for printing regular paychecks. You can give these to your employees as pay stubs.
- Select OK.
- Complete a final review of your print settings, then select Print.
Reprint paychecks or pay stubs
- Go to Lists, then select Chart of Accounts.
- Double-click the bank account you use for payroll.
- Double-click the paycheck you want to reprint.
- Select Print. If you wish to print more than one, select Print Later, then Save & Close. Note: Repeat this step for each paycheck you want to reprint.
- Select File, then Print Forms.
- Select Paychecks.
- Select the paycheck(s) you wish to print. Select OK.
- Review your printer settings and check the style, then select Print.
- When you’ve finished, select Save and Close.
