Update your legal business name and address

Learn how to update your business info in QuickBooks Online Payroll and QuickBooks Desktop Payroll.

When it comes to payroll, you can't afford to get it wrong.

Your business address is an important part of payroll, and it needs to match the address you have on file with the IRS. It's where they'll send important tax documents and notices. More importantly, we need the correct legal name to pay and file taxes and forms.

If your company has moved locations, make sure you notify the IRS or your state to make legal address changes to your payroll tax. Check out the IRS guide, Change Your Address – How to Notify the IRS or contact your state agency.

If Intuit pays and files taxes and forms for you, contact us to update your business name and address. If you want to update your filing address, make sure to complete the IRS Form 8822-B first.

If you pay and file directly to federal and state agencies, follow the steps below to update your business info:

  1. Go to Settings ⚙, then Payroll settings.
  2. In General tax, select Edit .
  3. Update the Company legal name or Company legal address, then Save.

Step 1: Update your Intuit Account name

Your Intuit Account name is created when you purchase or sign up for any Intuit product or service. It holds your business information, like your EIN and QuickBooks subscription. Learn how to manage your Intuit Account in CAMPS.

To change your Intuit Account name, follow these steps:

  1. Download and complete the Business Name Change template.
  2. Prepare to upload the following supporting documents:
    • Current government-issued Photo ID (for example, state-issued ID, driver's license, passport)
    • Proof of payment for the service or product: Bank statement that shows the subscription or product payments, the account number, and your name.
  3. Contact us to submit the completed form, government-issued ID, and proof of payment through Intuit Customer File Exchange.
  4. You'll receive an email that confirms the update within 3–5 business days.

Step 2: Update your legal business name and address in QuickBooks Desktop

  1. Go to Company, then My Company.
  2. Select Edit ✎, then Legal information.
  3. Enter the new legal business name, and address, then select OK.

If you use Direct Deposit to pay your employees, follow these additional steps. 

  1. Go to Employees, then select Send Payroll Data.
  2. Make sure that there are no pending payroll transactions to send.
  3. Select Send.

Update your legal business name

  1. Download the Assisted Legal Name Change form.
  2. Complete the form (signed and dated), then print it.
    Note: If you'll also need to change your Intuit Account name, check the box under the new fax number field.
  3. Upload your completed and signed form or send it to accountmaintenance@intuit.com.

The next time you process your payroll, your company name will automatically update in QuickBooks Desktop.

Update your legal business address

  1. Complete the IRS Form 8822-B, then print it.
    Note: The form is required to change both legal and mailing  addresses with Intuit. If you only need to update your legal address, we’ll accept an IRS letter showing the updated company’s legal address.
    • Consider this when completing the form:
      • Line 6 - New mailing or shipping address 
      • Line 7 - New legal address. Sign and date of the form
  2. Upload your completed and signed form or send it to account_maintenance@intuit.com.

We'll process your request to update your legal business name and address within 5 business days from the time we receive the form. We’ll contact you if we still need additional info. The account maintenance team works from 7 AM – 3 PM PT.
