What to do if you can’t find downloaded bank transactions

Learn how to find transactions downloaded from your online banks and credit cards.

When you first connect your online bank and credit card accounts, QuickBooks Online automatically downloads the last 90 days of transactions. QuickBooks then downloads new transactions nightly around 10 PM PT.

If you don’t see new transactions from your bank, or can’t find ones you already downloaded, here’s how to find them. We’ll manually download your latest transactions, check different tabs, and search your Chart of Accounts.

Step 1: Manually download your latest transactions

Transactions posted to your online bank account take a bit of time before they’re available in QuickBooks. If you don’t see a transaction you expect to see, manually download the latest ones available.

  1. Go to the Banking menu.
  2. Select the blue tile at the top for the bank account you want to update.
  3. Select Update.

Feel free to keep working during the update, it may take a few minutes. You’ll get a notification when it’s finished.

Check again for the missing transaction. If you still don’t see it, there may be a reason. Learn what do when bank transactions won’t download.

Step 2: Check the Banking menu

If you know you already downloaded a transaction but can’t find it, it may be stuck somewhere along the road.

  1. Go to the Banking menu.
  2. Select the blue tile at the top for the bank account you want to review.
  3. Start with the For Review tab. QuickBooks puts successfully downloaded transactions in the For Review tab. These are waiting to be categorized into an account. They won’t show up on reports until you do.
  4. Next, check the In QuickBooks tab. Once you’ve categorized them, downloaded transactions move to the In QuickBooks tab. The Added or Matched column tells you which account a transaction moved to.
  5. Check the Excluded tab.

Transactions you’ve marked as duplicates or personal go to the Excluded tab. These won’t be added to QuickBooks.

If you notice a transaction in the In QuickBooks tab is in the wrong account, or if it isn't showing up on reports like you expect, recategorize it. There are two usual suspects: Uncategorized Income and Uncategorized Expenses.

  1. Go to the Banking menu.
  2. Select the blue tile at the top for the bank account.
  3. Select the In QuickBooks tab.
  4. Review the Added or Matched column
  5. If a transaction is in Uncategorized Income or Uncategorized Expenses, select Undo from the action column.
  6. The transaction will go back to For Review so you can categorize it correctly.

Step 3: Check your accounts

If you already categorized a transaction and need to find it later on, check the In QuickBooks tab to see where it went:

  1. Go to the Banking menu.
  2. Select the blue tile for the bank account you want to review.
  3. Select the In QuickBooks tab.
  4. Find the transaction.
  5. Review the Added or Matched column to see which account the transaction moved to.

If you want to move transactions from one account to another account:

  1. Select the Accounting menu.
  2. Open your Chart of Accounts.
  3. Find the account holding the transaction.
  4. Select View register.
  5. Find the transaction on the list, then select it to expand the view.
  6. Select Edit to open the form.
  7. On the form, change the Deposit to account to the correct account.
  8. Select Save and New.
