Add or change your personal info in QuickBooks Workforce

Find out how to add your personal, W-4, and bank account info for your new employer online.
If you were recently hired by your employer, they may have invited you to add some of your personal info online through QuickBooks Workforce.
If you need to make any changes to your personal info, you can also do that in QuickBooks Workforce.
Note: Adding or changing your info in QuickBooks Workforce isn’t available to everyone. It depends on the payroll service your employer uses.

Select what you'd like to do with your personal info:
Add your personal info
- To get started in QuickBooks Workforce, look for the email invite. It'll come from do_not_reply@intuit.com and will have your employer’s name in the subject line.
- Select Accept Invite.
- Follow the on-screen steps to complete your setup. You’ll be asked for the following info:
- Personal info. This includes your name, address, and other personal details.
- Employment Eligibility. Not available for all payroll subscriptions. If your employer opts in, you'll be able to verify your employment elibility to complete Form I-9. Form I-9 is issued by the US Citizenship and Immigration Services. It verifies your identity and authorization to work in the US.
- Direct deposit info. If your employer opts in, add your direct deposit banking details.
- W-4 info. Enter your W-4 info so you can be taxed correctly for federal and state (if applicable) taxes. To learn more about your income tax is calculated, check out Understand the income tax on your paycheck.
Once you submit, your info is saved and your employer can see it.
View your personal info
- Sign in to workforce.intuit.com.
- Go to the Profile menu.
Here you can view your:
- Name
- Address
- Birth date
- Gender
- Federal and state tax withholding info
- Banking info (If your employer opts in.)
Change your personal info
You can make changes to the following info:
- Name
- Address (if it's in the same state)
- Birth date
- Gender
- Federal and state tax withholding info
- Banking info (If your employer opts in.)
You can also upload profile pictures:
- Employers and employees can update the picture.
- Only one picture will be saved and will override previously uploaded pictures.
- Employers are able to turn on or off the ability to upload photos on the employee side
- Note that we do not monitor the content of the photo.
If you moved to a new state, need to change your bank account, or Social Security number, contact your employer.
If you need help understanding or filling out your tax withholding info, it’s best to talk to a tax professional. Your employer and Intuit can’t provide tax advice or help filling out the form.
View or change your info:
- Sign in to workforce.intuit.com.
- Go to the Profile menu.
- Select Edit on Personal info or Tax withholding.
- Verify your identity via text message to the phone number on file.
- Make changes to your information. If you're making changes to your tax info, you'll add your digital signature. This will create a new W-4 form for your employer.
- Select Save or Confirm.
Your employer will get an email with the changes, and can see the changes in their payroll product.
