Add or change your personal info in QuickBooks Workforce

You can manage your personal profile, tax withholding, and banking details online through QuickBooks Workforce. If your employer uses a supported QuickBooks Payroll service, you can also view job-specific details like your hire date and paycheck preferences.
Before you begin
- Adding or changing your info in QuickBooks Workforce for Employees isn’t available to everyone. It depends on the QuickBooks Payroll service your employer uses.
- Contact your employer directly if you moved to a new state, need to change your Social Security number, or need to remove a bank account after the initial setup.
- Ensure you have access to the phone number on file for identity verification via text message.
- Profile photo content is not monitored by Intuit.
How do I add my personal info during onboarding?
If you were recently hired, your employer may invite you to complete your setup online. Once you finish onboarding, your information is saved and becomes visible to your employer.
- Open the email invitation from do_not_reply@intuit.com.
- Select Accept Invite.
- Follow the on-screen steps to enter the following details:
- Personal info: Your name, address, and other personal details.
- Employment Eligibility: If your employer opts in, you can verify your identity and authorization to work in the US to complete Form I-9.
- Direct deposit info: If your employer opts in, add your banking details.
- W-4 info: Enter your federal and state tax details to ensure correct withholding.

Continue onboarding by entering all your personal information. Depending on your employer you may have documents or additional information needed to complete.
What information can I view in my profile?
You can review your personal and employment details at any time.
- Sign in to workforce.intuit.com.
- Select My Profile.
- View your information across these categories:
- Personal information: Includes your name, address, contact info, and emergency contact.
- Job & pay details: Includes your hire date, paycheck preferences, and tax withholding.
- Direct deposit info: Viewable if your employer has opted into this feature.
How do I update my personal and tax info?
If enabled by your employer, you can edit your details at any time. Your employer will be notified of any changes you make.
- Sign in to workforce.intuit.com.
- Select My Profile.
- Select Edit on Personal info or Tax withholding.
- Verify your identity via the text message sent to your phone number on file.
- Update your information:
- Name, birth date, or gender.
- Address (only if you remain in the same state).
- Profile picture.
- Tax withholding.
- Paycheck preferences (if enabled by your employer).
- If you update tax info, you must add your digital signature to create a new Form W-4.
- Select Save or Confirm.
