Hello, @Catherine52. This shift often occurs due to a change in your Default Tax Rate settings or a mismatch between the Transaction Type and the assigned tax code.

If your default is set to Out of Scope, QuickBooks Online (QBO) will not automatically apply GST even if the category is known. Furthermore, the system includes a safety feature that stops auto-filling if it detects a tax code type mismatch such as an income account accidentally linked to a "GST on Purchases" code. You can resolve these issues by following the steps below.

To set default tax rate, here's how:

  1. Navigate to the Gear icon and select Account and Settings.
  2. Go to the Advanced tab and locate the Accounting section.
  3. Edit the Default tax rate selection from Out of Scope to GST or your preferred standard.

To assign tax codes to accounts, here's how:

  1. Navigate to the Transactions menu, then select Chart of Accounts.
  2. Tick the checkboxes for the accounts you wish to update
  3. Click the Batch actions dropdown menu and select Set default GST code.
  4. Choose the appropriate tax rate, then click Apply.

To further automate your workflow, you can create Bank Rules to automatically categorize and tax transactions as they arrive from your bank feed. You can find the full guide here: Set up bank rules to categorise online banking transactions in QuickBooks Online.
