Over the course of several years, I have meticulously uploaded data and photos into QuickBooks Online (QBO), operating under the belief that I would eventually undergo an audit. Presently, I have concluded my commercial activities and wish to inquire as to the fate of this data in the cloud. Specifically, I am interested in whether I can still access my proofs (receipts) in the event of an audit three years from now, given that it can only be reconnected within 12 months.
I have ascertained that the data can indeed be reconnected within 12 months, but I am uncertain as to whether this will still be possible after a longer period of time. As such, I would greatly appreciate any information or guidance on this matter.
Thanks
Paul
Hi paul116,
Thanks for your post in the Community!
We always recommend customers to export data prior to cancelling the subscription for back up purposes. Your data will be kept in a read-only access for 1-year from the cancellation date. After 12 months, you can still re-subscribe with the same credentials, but your data will no longer be available.
To export data and list:

You may have 2 options
1. Purchase a third-party service to convert data with attachment to another accounting app (less risk but expensive)
2. Resubscribe your QBO account every 12 months to preserve your data. (cheap but risky)
It seems like I'm stuck in a difficult situation. I have two options: pay for the maintenance of data for audit purposes or hope for the best. The government requires us to keep data/proof for up to 5-7 years, while QuickBooks Online (QBO) deletes it after just 12 months.
I was wondering if there is any vendor that can help me with this conversion work? I had hoped QBO would have a solution for this.
I guess this situation reinforces my dislike for cloud services.
Thank you for your assistance.
Paul
Hi paul116,
I understand how important it is to be able to keep the data in QuickBooks Online based on the mandate by the government. It's at the moment QBO keeps your data for 12 months only to give storage to new accounts.
You can either export the data right away for back up or re-subscribe the account before it reaches the 12 month mark. Or use a third party application to help you download the data.
