Income services default settings

I have an old income service that I want to make inactive.  QBO will not let me deactive it   the error message I am getting is "This needs to be active because it's the default service for time activities."

Can I change the default to the service that I prefer to use?

It's good to see you here in the Community, @leannemcminn.

I'll share some information about inactivating a default income service account.

Before we start, did you associate the default income service account with your time activities? Any additional information would be greatly appreciated.

Please know that there are accounts that can't be deleted or deactivated in QuickBooks Online (QBO), and it includes the default income service account.

I understand you want to inactivate your old default income service account. However, this option isn't available to the default or special accounts in QBO.

You can check out these resources to learn how to manage default and special accounts in QBO:

You may also want to reconcile your accounts in the future. This will help make sure your bank QuickBooks transactions match your bank statements.

Our Community forum is always open to help you again if you need more help managing your accounts in QBO. I'll be around to provide further assistance.

Thanks Mark,

I use Quickbooks time to log my hours and import that to create my sales invoices.

I was hoping to be able to inactivate the old account and make the new account the default.

I reconcile my accounts regularly.

The link you sent me is for bank accounts.  I was trying to make one of the Products and Services accounts inactive.

Cheers

Thanks for getting back in this thread, @leannemcminn. I can help you make an account inactive in your QuickBooks Online (QBO) company.

But before we do so, I'd like to share a few things. I'm sure this will help you get the job done so you can make changes within your company file. A possible reason you're unable to deactivate the account is that it's still connected to an active item in your company.

Now to get this sorted out, you have two options. Option one would be to change the account linked with that specific item. Once done, you'll want to locate the account previously paired with your product or service item and delete or deactivate it in your Chart of accounts.

Another option would be to delete the item. This way, you can make the account inactive and start from scratch. I'll gladly input the steps for each solution that I've provided.

For option one, these are the steps:

  1. Access your QuickBooks Online company.
  2. On the top right corner, click the Gear icon.
  3. Under Lists column, select Product and services.
  4. Locate the item you want to replace the account, and then click on it.
  5. In the Income account section, click the dropdown arrow and then select another account.
  6. Once done, click Save and close.

Feel free to visit this article for more information: Change the account for a product/service item.

Now, you proceed to deactivate the account by going to your COA. Here's how:

  1. Access your QuickBooks Online company.
  2. Go to the Accounting tab, and then select Chart of accounts.
  3. Beside the Batch actions, type the name of the account you want to deactivate.
  4. In the Action column, click the Dropdown arrow and then select Make inactive.

Please see this page for further guidelines: Make an account inactive on your chart of accounts in QuickBooks Online.

For option two, you'll only delete the product or services, and then make the account inactive in your Chart of accounts. To do that, here's how:

  1. Access your QuickBooks Online company.
  2. On the top right corner, click the Gear icon.
  3. Under Lists column, select Product and services.
  4. Locate the item you want to delete or deactivate.
  5. In the Action column, click the Dropdown arrow beside Edit and then select Make inactive.

After that, repeat the steps I've provided above on how to deactivate an account. Once done, you can now start from scratch.

Additionally, I've got you this article to help you handle special accounts in QBO: Manage default and special accounts in your QuickBooks Online chart of accounts.

You can also check this page to learn more about subaccounts and how you can use them to break down income, expenses in QBO: Create subaccounts in your chart of accounts in QuickBooks Online.

@leannemcminn, should you need further assistance making an account inactive in QuickBooks, or do you have any additional QuickBooks-related concerns? Our door is open 24/7, and I'll be happy to help again. Take care, and have a nice day!

Income services default settings

Hi:

I'm having the same issue with an account called "Shipping Income".  This does NOT seem like an account that should be locked.

I looked in Products and Services and nothing is linked to this account.

The error that I'm getting is:  "This account can't be deleted because it is the default account for sales shipping lines"

Any suggestions as to how I can remove this account?

Hi bfackrell,

I understand you want to inactivate your Shipping income account. However, shipping income account is one of the default accounts in QuickBooks Online. The option to remove isn't available to the default or special accounts in QuickBooks Online.

Please know that there are accounts that can't be deleted or deactivated in QuickBooks Online (QBO), and it includes the default shipping income account.
