What is the difference between deleting and voiding an invoice??

Hi Paula78,

I'm here to share what happens when you delete an unpurchased transaction.

Yes, you're correct. Once the customer decides not to push through the transaction and you delete it from the system, the items linked to it will go back to the inventory list.

Furthermore, I've added these articles as your guide in creating invoices and recording their payments:

What is the difference between deleting and voiding an invoice??

Yes, that's right, Ray. I'll elaborate further on what will happen to the inventory items associated with the voided invoice.

When the invoice is voided, the transaction will retain its details and still be visible in the reports. However, the application will equate the invoice to zero to avoid affecting the account balances. Any inventory items associated with it will also return to the original inventory count.

Furthermore, I'll leave these guidelines below in case you need assistance in voiding the transaction:

  1. From the left panel, click the Sales menu.
  2. Navigate to the Invoices tab, and locate the transaction.
  3. In the Action column, click the dropdown arrow, then, select Void.

Once you decide to create another invoice and record the payments afterward, you can refer to the resources below:

Let me know if you have additional questions about managing QuickBooks transactions or how the application works for your business. Have a good one!

More importantly, does the customer get notified of the invoice's new status, either way - so they know its status has been amended?

HI Kyle,

Thanks for joining the thread. The customer will only be notified of the changes made or the of new invoice status if you click on the Save and send option. Doing that process will resend the new invoice to your customer. So be sure to click on Save or Save and close only.
