How can I share a custom report with one other user only? I only have the option to select ALL or NONE in the share drop down field.

Hi SVD2,

 

Currently there is no feature to only share a custom report with one other user. When selecting to share with All, this report will be available to run for all users with applicable access when accessing Custom Reports from the Reports tab. However, if you are wanting to share the report by email to only one user, there is a feature to set up a group and send the report on a recurring schedule to your preferred recipient(s): 

 

  1. Go to Reports, then select Custom Reports.
  2. Find the desired report, then choose Edit.
  3. Select Add this report to a group, then choose an existing report group, or Add new. Give the group a name, select share with All, and Save.
  4. Go to Reports, then select Custom Reports
  5. To the right of the group name, select Edit.
  6. Turn on the email schedule and set up as required. Enter the email address of the user, then select Save and Close.

Hi Kass,

 

Thanks for your reply.  I thought this might be the case, but the QB online help advises you can "select a user" from the share with drop down menu.  This is not quite accurate, as you can't select "a user".  It should say select either All user or No users.

I'm now trying to share the report with All users, but it's not working either.  If I try and save/replace the report it duplicates it, and if I rename it a new report is created but not shared.  Do you know if this is because I had already allocated a group to the report before trying to share it?  Would I have to delete the whole report and start again?

Hi Kass, No need to get back to me.  When I removed the group from the report I was able to share it. Thanks again, Shannon

Hi SVD2,

 

Is this the article you are referring to that mentions specific users? I have raised that for review as it is not applicable to QuickBooks Online AU users and apologise for the confusion. Glad to hear you were able to share the report succesfully as well!
