Owner loan payment showing in Sales by Customer Report

Does anyone know how to enter a deposit for a loan so that it doesn't show in the Sales by Customer Report.  I have reconciled a deposit and recorded to a liability account as it is for a loan to the company.  However the deposit is showing in the sales by customer report.  Is there a way to reconcile the transaction so that is doesn't show in this report?

I'm here  to lend a hand on how you can handle  your loan deposit. 

 

I was able to replicate  here on my end and I'm not seeing the deposit on the Sales by a customer report. 

 

There is a possibility that the account that was chosen when making the deposit isn't the right account that you set up. Please ensure to select the liability account. 

 

On the other hand, you can create a journal entry to record the loan, not only to record what the company owes you but also to record expenses for year-end reporting as well as tax purposes.

 

Here's how:

 

  1. Select + New.
  2. Under Other, select Journal Entry.
  3. Enter the amount of the loan and log the proper amounts to the appropriate expense accounts.
  4. Select Save and close.

Hi Abegail,

 

It has definitely been allocated to a liability account on the balance sheet but is still showing in the Sales by Customer report.  

 

You said you weren't able to replicate the problem.  If you were able to allocate a deposit to a liability account that did not show in the Sales by Customer report, are you able to advise how you entered the deposit?

I can provide additional information about recording loan payments.

 

The Sales by Customer report shows your sales, grouped by customer. It also includes the date, type, amount, and total.

 

Try to review the transactions you've recorded for this loan. To record your loan in QuickBooks Online (QBO), you must set a liability account to record what you owe from the Chart of Accounts. Once you're done, create a journal entry if you put all the loan money right into the bank.

 

You can record the repayment by creating a cheque. Consider using a liability account for the loan and expense account for the interest.

I have the same problem. I have 3 separate loan amounts. Two of them are not included in sales, but one of them is. As far as I can see there no difference between the three items, so I don't understand why one is treated differently.

I understand the urgency to get this resolved as soon as possible. QuickBooks Online (QBO) can occasionally stop working properly since locally stored internet cache files can cause the product to behave unexpectedly due to overloaded site data. I recommend opening a different browser or a private window to isolate possible issues. This can help us remove any cache-related matters that may have contributed to the problems. 

Here's how to activate incognito mode in some of the most common online browsers:
 

  • Google Chrome: Ctrl+ Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Option + P


If your recorded loan payment finally shows in your liability account, it's safe to say that the browser has caused it. This can be fixed by clearing your cache and cookies.

OK, so I tried in incognito and no difference.

 

I was wrong when I said that the loan amounts are treated differently - they're all included in sales. I was just looking at the amounts for this month before which is why I thought only one was being treated this way.

 

There must be a way of excluding these from sales figures...

Allow me to step in and share additional information about loan amounts shown in the Sales by Customer Report.

 

In QBO, the loans will not show in the Sales by Customer Report if you choose the correct account upon entering the loan. You can review the transaction to ensure you've chosen the liability account, not the income account. 

 

If you assign a loan to an income account, it'll show up on the sales by customer report. You'll want to edit the transaction or delete/recreate the transaction to start over.

I'm not sure I follow. You say "it will usually show in the Sales by Customer Report..." . But it's *not* sales: it's a loan - nothing has been sold...

It is unusual for the loan to show up in the sales by customer report. Possibly, we accidentally used an incorrect account when recording the loan instead of using a liability account. That could be the reason they are showing in the Sales by Customer report.

 

We can review the transaction to ensure the correct category has been set up. You can click the amount from the report to review the details of the transaction. If we need to correct that one, you can edit or delete and recreate the deposit to start over fresh, as advised by my peer above.

Just to follow up on this, I have the exact same problem. My director's loan account deposits are showing as Sales on the 'Sales by Customer detail' report. 

 

I have tried the various suggestions above and none work. Here are the details

 

- The transactions are recorded as deposits into my Director's Loan account (liability account).

- The transactions are recorded as deposits in my main Bank Account, from the Director's loan account.

- My balance sheet correctly shows the liability against my Director's loan account.

- The director's loan liability account is type  'Current Liabilities / Short Term Loans from Related Parties'.

I had similar and checked the VAT allocated. I had No VAT (Sales) and changed to Exempt (Purchase) and it no longer showed up in sales report.
