Recording cash received and then donated to a charity?

Hi there,

 

we are a school P&C and have received cash donations from all the students that I have deposited into our bank account and then made a bank transfer to a charity for the same amount as a donation to them. What is the best way in Quickbooks to record and account for this? Because technically we only served as the middle man here.

Hi biancahro,

 

There are two ways on how you can record a cash donation received in QuickBooks Online. It can be as a sales receipt or bank deposit. 

 

If you simply need to record the money donated to your organisation, you can create a bank deposit instead. 

 

To donate cash, you can set up the charitable organisation you're donating to as a supplier so that, when you make a donation, you can record it as a cheque, expense or a bill and payment, just as you would for any other payment to a supplier.

 

Here's how to set up a vendor: 

 

  1. Go to Expenses tab and select Suppliers
  2. Select New supplier.
  3. Enter donors information. 
  4. Select Save.

 

Then, you can enter the donation to charity as a cheque, expense, bill and payment. Make sure that the expense account you select from the Account drop-down list in the Category details section is a dedicated expense account for tax-deductible contributions that isn't used for any other expenses, as this will make things easier for your accountant or tax preparer.

 

If you don't already have an expense account for donations, you can select Add New from the drop- down list in the Account column to add one when you record the donation.
