When sending a quite it looks very odd in the email format

When sending a quote it comes up in the email really strange . The pdf attachment is fine but the email itself is odd . I’ve sent it from my computer and app on my phone both the same . My email is a gmail account  any advice would be great  as it looks very unprofessional

Hi there, @Jeffymc. I'll share the steps with you on how to customise your email message. 

 

Here's how:

  1. Click the Gear icon.
  2. Select Account and settings and proceed to the Sales tab.
  3. Go to the Messages section.
  4. Select Estimates/Quotes from the Sales form drop-down.
  5. For the Subject and Email message, you can leave the verbiage in the box that is provided or type in your custom messages.
  6. If you would like to receive a copy, place a tick in the box next to Email me a copy.
  7. After you've made all the appropriate changes to the message, select Save.
  8. Select Done.

Thanks for the info but it’s the format that the email comes up is odd I’ll attach a photo for reference , that’s how it shows up in an email and that size too ???? It’s so bad

Even the writing displayed to the client is tiny and has to be zoomed in the beginning read .

I couldn't agree more, @Jeffymc.

 

I tried sending an estimate to my email. I'm seeing the same format too. Being able to edit it would be great and helpful to send professional-looking emails. Rest assured that I'll relay this message to our team in concern here on my end and add your vote for this one.

 

You can also share your thoughts and ideas through your account. Our product development team reviews all the feedback we receive to ensure we’re meeting the needs of our customers. 

 

Here's how:

  1. Select the Gear icon at the top, then Feedback.

  2. Enter your comments or product suggestions then select Next.
  3. You'll be provided a list of suggested Help articles related to your comment. You can read through them or select Skip and send message.
  4. From the drop-down, choose the appropriate category, then select Send message.

 

In the meantime, you'll want to include a summary in the email, instead of the full details. Here's how:

  1. Click the Gear icon.
  2. Select Account and settings and proceed to the Sales tab.
  3. Go to the Online delivery section and select Edit.
  4. Choose Show short summary in email.
  5. Click Save and Done.

This seems to come up regularly, i find it hard to believe this is not a well known issue within in  Quick books.

 

Google this  question and you can find many references to it, all with poor outcomes.

 

Strangely it doesnt happen with invoices.

I want to make sure you're able to send invoices with the correct format. For this, you need to check your setting

 

First, let's check your online invoice email settings and see what format is selected. Follow these steps in QuickBooks Online to check:

 

  1. Click the Gear icon and choose Accounts and Settings.
  2. Go to Sales then Online Delivery.
  3. Under Additional email options for invoices, make sure it's not set to Plain Text. If it does, switch it to Online Invoice.
  4. Don't forget to press Save and Done after.

 

Once done, try to CC the invoice to your email and see if the format is corrected. If you're still having  a recurring issue with this, I strongly recommend contacting our support to report this issue. Here's how to get our support team:

 

  1. Go to the Help menu in QuickBooks, then choose the Search tab.
  2. At the bottom click on Contact us.
  3. Enter the keyword Banking, Account Management and Billing in the What can we help you with? box.
  4. On the next screen, scroll down to How would you like to connect with us section.
  5. Choose your contact option to initiate a discussion with a live agent.

Bumping this as it's still very much an issue. The Online Delivery option only applies to Invoices, not estimates. We regularly send Estimates out to our best clients and it looks quite unprofessional for the email body to appear as though it's fresh off a typewriter.

It seriously looks so horrible that i can't even send estimates to my customers out of embarrassment.

 

This issue is so ridiculous!

I can see how beneficial to a lot of users to be able to improve the email format for quotes. I would also recommend adding feedback about this. The more requests we receive about a particular feature or product suggestion, the more likely it will be part of the new update. Here's how: 

 

  1. Go to the Gear icon and select Feedback.
  2. Type in your feedback and suggestions about giving the customers button to accept estimates.
  3. Click Next to submit them.

I had the same problem can’t send Quotes they look so bad. Not sure what QuickBooks I have.can’t seem to fix problems

Hi 

Our emails of ESTIMATES to clients are still weird. I've tried all the suggestions changing the online delivery to online email format but its still coming out weird. Especially on the phone. 99% of our customers see these estimates when they are on the field which means their first impression is the mobile format which is so weird. How do I get rid of that all together and just do only a pdf version so its in a clear and professional format. Please help. I keep getting phone calls from my clients saying they cant read our estimates. I always have to guide them that there is a readable pdf format at the bottom of their email. This is not good.

I understand how important it is for your company to edit the estimate email format to look more professional. This option is unavailable in QuickBooks Online (QBO). We see consumer feedback as an opportunity to improve the numerous features of our products. I'd recommend giving our engineers direct feedback. They may look into this suggestion and incorporate it into future updates. Let me demonstrate:

 

  1. Go to the Gear icon.
  2. Hit Feedback.
  3. Type in your recommendation in the Share your feedback field.
  4. Click Next.
  5. Follow the on-screen instructions to complete the process.

I've been following this thread for several months, after having a similar issue for my company estimates. Since then, every notification that comes across my inbox has led me to hope that someone has finally addressed this issue. Instead, all I have seen is community members asking for a fix, and QuickBooks responding by telling them how to submit a basic feature request. 

QuickBooks, This is not good enough. There is no excuse for wasting users' time, and telling them to create feature requests for what should have already been a basic function of the software from day one. Invoices look great, as they should from an Industry giant and the leading accounting software in the space. There is no reason that our estimates should look like they came off of a typewriter into our clients' inbox. 

Please, address this issue. We are not asking that a feature be added, we are asking the basic core functionality of the product appear as it should. We are asking that you stop pretending that this issue is anything more than a basic product management oversight failure. We either love your product, or have no choice but to use it. Either way, these are not the sorts of issues that should be taking up the time of business owners. Thank you.

Completely agree with everyone above. Why the hell does one of the major players not have this basic functionality? It is a requirement of many businesses to be able to send professional looking emails with quotes? I'd take it a step further and say that the quote system needs to have a clickable link to accept the quote and pay, say 10% or whatever the business sets, to accept the quote. Why am i chasing up quotes too?

The look of the PDF is acceptable but the email template is completely horris.
