How to display / export date that an estimate was marked approved

I can get a column that show me the status of a quote, and a column that shows me the date of the quote. And the sales list shows me the date that the quote was last emailed out. But I can't find a way to show the day that a quote is marked accepted, or otherwise has a status change. Even looking at the Estimate Acitvity section of the quick view popup sidebar doesn't show the date that the status was changed, just that it was changed.

 

Is there no way to determine when quote status were updated? This is a basic requirement to evaluate conversion rates of estimators when most estimates don't get approved in the month (or even quarter) so that approvals in a given month can be compiled alongside quotes in that month.

 

The system prints "Accepted Date" on the quotes, but the system doesn't actually keep track of that anywhere?

Yes, Electrogas. There's a way to show the date of quote that is marked accepted on the report list. I can walk you through the steps on how to achieve this in QuickBooks Online.

 

You can track date accepted by updating the Quote manually in QBO. By doing so, will help the system record date in the Quote by Customer report.

 

Follow these steps below:

 

1. Navigate to to Sales tab and click the All Sales.

2. Locate the Quote. If the Quote is on Pending status, just click the Mark Accepted.

3. On the Update Status For Quote window, choose Accepted in the Status, enter name under the By section and the Date as well.

4. Press the Ok button.

 

 

If the Quote status is closed, you can click the edit option to open the receipt and change it to Accepted. See the steps and screenshot below:

 

1. Locate the quote and press the Edit option.

2. Click the Dropdown Arrow to narrow the down the Quote Status.

3. Choose the Status, enter the Name and the Date.

4. Select the Save button, once done.

 

 

Next, you can look at the Quote by Customer report illustrated below to understand how the details show based on the steps mentioned earlier. Please make sure to customise and put a checkmark on the Quote Status, Accepted Date and Accepted by column:

Okay, that's helpful. Didn't know that custom reports could show data that the "all sales" view we normally stay on nearly all of the time didn't have access to.

 

Is there any way to filter by the "accepted date" column so I can produce a report of quotes that are accepted in a given month / quarter without exporting the entire unfiltered list to excel?

I appreciate you getting back here in the thread, @Electrogas. I'll walk you through filtering a report to show accepted status in a specific period in QuickBooks Online (QBO).

 

In QBO, you can run the Quote by Customers report and filter it to show those quotes that show Accepted status in your company file. By applying filters to the report, it allows you to seamlessly track quotes that have been accepted in a specific period, as well as see their accepted date. Here's how:

 

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, click the Reports tab.
  3. In the Search bar, enter Quotes by Customers.
  4. In the Report period, select custom and then enter a specific date.
  5. Click the report and then select Filter icon beside the Columns icon.
  6. Add the importance details such as Transaction type and ensure to only select Accepted as the status.
  7. If you want to save the report, click the Save As button.
