Consider having an additional app as a workaround. What is the role of your employee?

There is no point to have an additional app to fix what QB can easily do.

The role of this new employee is admin. There is no reason to access the purchase prices and margins. What I want is to give him/her access to the create invoices, check stock levels and follow up payments

I wanted to share some information in the hope that you can use this for your QuickBooks file.

 

You are able to edit the type of access each of your users in QuickBooks are allowed to see/edit.

 

Log into Quickbooks and go to Settings > Manage Users.

 

From here you are able to select each individual user and select Edit, you will be able to stipulate what you want, and don't want the user to see and/or do.

Hi Kristian,

 

I've seen the options before but even for the Standard User the numbers are opened (purchase prices).

I need a lower level such as "Stander User light". I need to make sure an admin person doesnt have access to any $$$ rather than sales price.

This person cannot calculate margins

How can I get this from QB?

Hi ricardo7,

 

When you create the user in QuickBooks, ensure that you have only ticked Customers when assigning the Standard User role. This will disable any feature to do with purchases/expenses (including purchase price). In the Products and Services page, they will also only be able to see the Sales price, and they also cannot run any reports that mention costing or purchases.

Hi Bonny,

I knew about the steps you suggested me, by the result wasn't satisfatory.... the standard user has plenty of privilegies and can navigate through costs as long as he/she wishes.

 

Please check the file attached with the options selected and the possibility to check/uncheck the costs box at any time under Products & Services for this standard user.

I just need to hide a couple of fields. Hope QB can help me

A Standard user with limited access to Customers can do the following:

 

  • Enter quotes, invoices, sales receipts, adjustment notes, and refunds
  • Enter charges and credits
  • Create and delete statements
  • Receive payments from customers
  • Add, edit, and delete customers, products, and services
  • View customer registers and A/R reports
  • View tax rates and agency settings
  • Use and adjust GST in sales transactions and general journal entries (i.e. manually overriding calculated tax amounts)
  • Add, edit, and delete currencies
  • Edit exchange rates

Having an option not to view the purchase prices is currently unavailable. I recommend sending feedback to our Product Development Team to help improve your experience in QuickBooks Online. Just go to the Gear > Feedback

Please find my answer to your bullet points

  • Enter quotes, invoices, sales receipts, adjustment notes, and refunds (yes, this is ok to have)
  • Enter charges and credits (yes, this is ok to have)
  • Create and delete statements (yes, this is ok to have)
  • Receive payments from customers (no, this is not ok to have since require access to bank account)
  • Add, edit, and delete customers, products, and services (no, too dangerous to touch the data base)
  • View customer registers and A/R reports (yes, this is ok to have)
  • View tax rates and agency settings (no, not necessary)
  • Use and adjust GST in sales transactions and general journal entries (i.e. manually overriding calculated tax amounts) (no, not necessary)
  • Add, edit, and delete currencies (no, not necessary)
  • Edit exchange rates (no, not necessary)

Having an option not to view the purchase prices is currently unavailable. I recommend sending feedback to our Product Development Team to help improve your experience in QuickBooks Online. Just go to the Gear > Feedback. (I already did. Anyway, if I dont have this option available sometime soon, it will be decisive for me to migrate from QB. MYOB is offering this solution and I need to hire a person with "real" limited access.)
